Overview
We are seeking an experienced, highly organized bookkeeper and legal operations support professional to help improve a law firm’s internal operations, systems, and workflows. This position requires strong judgment and discretion.
Core duties include:
- Oversee legal case management systems, including Clio and LawPay, ensuring accurate data entry, document control, and file organization
- Manage accounts receivable, including A/Rs, to ensure timely payments
- Manage trust, client cost, and office expense accounts to ensure accurate recording, reconciliation, and compliance
- Track and manage key financial and operational deadlines, including filings, renewals, end-of-month, annual, and regulatory deadlines and reporting, ensuring nothing is missed and compliance is met
- Track operational tasks, flag issues early, and ensure process efficiency
- Maintain organized digital and physical files with consistent naming, version control, and accessibility
- Serve as a professional point of contact for clients and vendors, including accounts receivable follow-ups and payment coordination.
- Maintain strict confidentiality and professional standards at all times
Required Qualifications
- 4 years Bookkeeping and administrative best practices
- Proficiency with numbers and the ability to work accurately with data
- Experience with accounts receivable, reconciliation, trust accounting, and expense tracking
- Ability to manage multiple priorities independently and meet firm deadlines
- Strong organizational skills and ability to handle high volumes of financial and legal documents accurately
- Strong written communication skills, including proofreading and document review
- Professional phone presence and polished client communication
- Proficiency in various software, including Quickbooks, Microsoft Office, Outlook, and Adobe
Additional strengths
- Experience managing law firm trust accounting and compliance requirements
- Experience with legal case management and billing systems such as Clio and LawPay
- Prior operations or office management leadership
