Job Title: HR Admin Assistant
The Human Resources Administrative Assistant plays a vital role in supporting the Human Resources department and ensuring the efficient administration of HR programs, policies, and procedures. This position provides administrative and operational support across various HR functions, including recruitment, onboarding, employee relations, compliance, performance management, and employee engagement initiatives. The HR Administrative Assistant serves as a resource for employees and management while maintaining accurate records and ensuring compliance with employment laws and company policies.
Responsibilities
- Assist with employee onboarding and new hire orientation programs.
- Support training and development initiatives by coordinating schedules, materials, and employee participation.
- Assist with full-cycle recruitment activities, including posting job openings, screening resumes, scheduling interviews, and communicating with candidates.
- Utilize recruiting platforms such as LinkedIn, Indeed, and other job boards to source and attract qualified candidates.
- Conduct reference checks and assist with preparing offer letters and onboarding documentation.
- Administer and maintain employment records, including employee files, HRIS databases, and personnel documentation.
- Ensure accurate completion, verification, and retention of Form I-9 documentation and employment eligibility records.
- Serve as a point of contact for employees regarding HR-related questions, including benefits, leave administration, policies, and compensation inquiries.
- Maintain employee records related to hires, terminations, promotions, transfers, vacation, sick leave, and other employment status changes.
- Assist and help coordinate quarterly and annual performance review processes.
- Assist in organizing employee engagement activities, recognition programs, wellness initiatives, and team-building events.
- Promote HR programs and initiatives that support a positive, productive, and conflict-free workplace.
- Assist with benefits administration and employee communications.
- Ensure compliance with federal, state, and local employment laws and labor regulations.
- Support HR audits and maintain the confidentiality of employee information.
- Provide administrative and operational support to the Vice President of Human Resources and other members of leadership as needed.
- Assist with special HR projects and continuous process improvement initiatives.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Understanding of general Human Resources policies, procedures, and employment practices.
- Knowledge of recruitment processes, candidate sourcing, interview coordination, and onboarding procedures.
- Experience using LinkedIn Recruiter, LinkedIn Talent Solutions, Indeed, and other recruiting platforms preferred.
- Knowledge of Form I-9 compliance and employment eligibility verification requirements.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience working with Human Resources Information Systems (HRIS).
- Excellent communication, interpersonal, and organizational skills.
- Strong attention to detail and ability to maintain confidentiality.
- Effective problem-solving, critical thinking, and conflict-resolution skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Results-driven approach with a strong commitment to employee support and customer service.
- Additional HR training, certifications, coursework certification is a plus.
Location: On-site in Chatsworth, CA
Pay: $26-27 per hour
