Position Summary
The Patient Access Specialist plays a key role in delivering exceptional customer service in a fast-paced clinical environment. This position serves as the first point of contact for patients, greeting and assisting them in person and by phone. The Specialist is responsible for accurate registration, insurance verification, appointment coordination, and supporting overall clinic operations.
Key Responsibilities
Scheduling & Coordination
- Communicate with referring providers, clinical departments, and other staff to obtain required information and schedule appointments.
- Schedule, modify, cancel, and confirm appointments; complete reminder calls when Auto Reminder is not available.
Insurance & Financial Responsibilities
- Verify insurance benefits and obtain necessary pre-certifications or authorizations.
- Collect required payments such as co-pays and deductibles, or refer patients to financial counseling when appropriate.
Registration & Documentation
- Accurately enter demographic, billing, and clinical information into the registration system in a timely manner.
- Scan, organize, and upload paper documents into the electronic health record (EHR).
- Manage departmental paperwork and perform general clerical duties including copying and filing.

The Patient Access Specialist is a fiduciary of the organization and must:

- Ensure fair dealing by acting honestly in all organizational contracts and avoiding actions that undermine contractual obligations.
- Disclose material information that may impact Executive Team decision-making.
Required Education, Skills & Experience
- High School Diploma or equivalent required.
- Minimum of two (2) years of experience in a clinic setting.
- Medical terminology course preferred.
- Experience/training in billing and charge entry.
- Bilingual (English/Spanish) proficiency preferred.
- Strong verbal and written communication skills.
- Ability to work respectfully with diverse families and individuals.
- Basic math skills and strong analytical comprehension.
- Excellent organizational skills and attention to detail.
