Overview
We are seeking a dynamic and detail-oriented Office Manager / Bookkeeper to oversee daily office operations while managing financial records and administrative tasks. This role is vital in ensuring the smooth functioning of our office environment, supporting team members, and maintaining accurate financial documentation. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating an efficient workplace. This role requires a minimum commitment of 20 hours per week.
Primary Responsibilities
· Email Management: Monitor the company email account, respond to inquiries as needed, and ensure timely communication.
· Job and Contract Coordination: Communicate with the company owner regarding ongoing jobs and contract documents. Collaborate with the owner to prepare estimates and manage related tasks.
· Mail Handling: Open and address all mail received to the office, ensuring proper documentation and follow-up.
· Billing and Payments: Handle customer billing, post payments received and maintain accurate financial records.
· Customer Service: Respond to customer requests and complaints in a professional and timely manner.
· Crew Support: Assist the crew by providing customer addresses and the necessary paperwork to accurately record the services performed.
· Bill Payment Processing: Record and process bill payments promptly to maintain positive vendor relationships.
· Payroll Administration: Review employee time sheets, process payroll, and prepare all required payroll reports and tax deposits, including year-end reports. Track and record any employee disciplinary actions.
· Tax and Reporting Compliance: File and pay all sales taxes and complete any other required reporting to ensure compliance with regulatory requirements.
· General Office Duties: Perform general office tasks to maintain accurate and complete records for the company.
· Additional Tasks: Carry out other duties as assigned to support office operations.
· Human Resources: Consult with Human Resources consultant as needed for recruitment, discipline, hiring and terminations.
Qualifications
- Proven experience in office management, clerical work, or administrative roles
- Strong bookkeeping skills with proficiency in QuickBooks
- Excellent communication skills with the ability to handle phone etiquette professionally and interact confidently with customers and vendors.
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Knowledge of payroll administration and employee onboarding.
Pay: $ $19.00 per hour
Expected hours: 20.0 per week
