What are the responsibilities and job description for the Automotive Billing Coordinator/Office Operations position at Deer Pond Auto?
At Deer Pond Auto Service, we combine modern diagnostic tools with real hands-on experience to deliver fast, accurate, and efficient repairs. We believe in doing things the right way: honest assessments, clear communication, and fair pricing so our customers always know what’s going on with their vehicle.
We handle everything from routine maintenance to more complex repairs, and we take pride in keeping our customers’ cars running safely and reliably.
We’re a local shop built on trust, consistency, and strong relationships. Our goal is simple: take care of people, do solid work, and run a shop the team can be proud of.
About the Role
We’re looking for someone to take ownership of billing, paperwork, and day-to-day office flow.
This is a fast-paced, detail-heavy role that touches almost every part of the business. You’ll be the person making sure everything is accurate, organized, and moving — from repair orders to payments to paperwork.
This is not a passive desk job. If you like structure, staying organized, and being the one who keeps things running behind the scenes, you’ll do well here.
What You’ll Be Responsible For
- Managing billing and invoicing (customer pay, insurance, internal)
- Reviewing repair orders for accuracy before closing
- Making sure all paperwork is complete, signed, and properly documented
- Tracking payments and following up on outstanding balances
- Keeping digital and physical files organized and up to date
- Communicating with service advisors, technicians, and management
- Supporting daily office operations so nothing falls behind
- Catching errors early and keeping things clean and accurate
What This Job Requires
- Strong attention to detail
- Ability to stay organized in a fast-moving environment
- Confidence to ask questions and speak up when something looks off
- Reliability and consistency
- Basic computer skills (email, spreadsheets; shop software is a plus)
Automotive experience is a plus, but not required. We’ll train the right person if they’re sharp, organized, and willing to learn.
Who This Is For
- Someone who likes being the “control center” of an operation
- Someone who takes pride in clean, accurate work
- Someone who notices things others miss and fixes problems early
Who This Is Not For
- Someone who needs constant direction
- Someone who gets overwhelmed easily
- Someone who lets things pile up or slip through the cracks
Pay & Schedule
- Full-time position
- Pay based on experience
- Stable, consistent hours
Pay: $20.00 - $25.00 per hour
Benefits:
- Paid time off
Work Location: In person
Salary : $20 - $25
