Position Overview
We are seeking an experienced and highly organized Firm Administrator to oversee the day-to-day operational, financial, and administrative functions of a growing law firm focused on trusts, estates, and probate matters. This role is responsible for ensuring smooth office operations, financial workflow oversight, and staff accountability while supporting attorneys in maintaining efficient case progression and client service standards.
The ideal candidate is detail-oriented, financially disciplined, proactive, and comfortable working in an in-office leadership role that balances administrative execution with operational oversight.
Key Responsibilities
Financial & Billing Operations
- Process and manage client invoices and billing workflows
- Monitor and coordinate retainer replenishment communications and tracking
- Oversee firm bill paying, vendor payments, and expense processing
- Maintain organized financial documentation and ensure timely handling of financial obligations
- Coordinate with accounting/bookkeeping resources as needed
Case Workflow & Administrative Oversight
- Identify completed or closed cases and ensure proper administrative follow-through
- Monitor case progression and administrative workflow to ensure tasks are completed on schedule
- Support attorneys with administrative coordination related to case lifecycle management
- Maintain file organization and documentation compliance standards
Office & Staff Coordination
- Maintain active in-office presence to ensure smooth daily operations
- Support accountability and productivity among attorneys and support staff
- Address operational issues, remove administrative bottlenecks, and escalate concerns as needed
- Assist in establishing and maintaining office procedures and workflow best practices
General Firm Operations
- Coordinate vendors, office needs, and administrative resources
- Assist with process improvement initiatives to enhance efficiency
- Support leadership in operational planning and execution
- Serve as a central point of coordination for administrative communication
Qualifications
- 3 years of administrative or operational experience in a professional services or legal environment preferred
- Experience supporting billing, financial workflows, or office operations
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and maintain accountability across teams
- Excellent interpersonal and communication skills
- Proactive, self-directed, and solution-oriented mindset
- Comfortable working fully in-office
Preferred:
- Experience in trusts & estates, probate, or legal administration
- Familiarity with legal billing or case management systems

Pay: $30.00 - $50.00 per hour
