The Sales Administration Officer is responsible for managing customer orders from receipt through to delivery handover, ensuring contractual compliance, administrative accuracy, and effective cross-functional coordination. The role supports the SP3.4 Contract Acceptance & Execution Handover process by securing the transition from commercial commitment to operational execution. This position plays a key role in maintaining data integrity in the ERP system, supporting delivery readiness, and protecting customer satisfaction, financial accuracy, and operational performance.

 

KEY RESPONSIBILITIES

Order Review and Contractual Compliance

  • Review customer orders against approved quotations, negotiated terms, and contractual requirements.
  • Verify pricing, quantities, lead times, Incoterms, terms and conditions, payment terms, delivery requirements, and any special clauses.
  • Identify discrepancies between customer orders and approved commercial commitments and escalate them for resolution.
  • Ensure order acceptance is only completed when required validations are in place.

ERP Administration and Data Integrity

  • Enter, validate, and update customer orders in the ERP system. (SAGE X3)
  • Ensure accuracy and completeness of customer master data, including billing and delivery information.
  • Maintain traceability of order changes, approvals, and associated documentation.
  • Ensure the reliability of order data used for planning, execution, and reporting.

Cross-Functional Coordination

  • Coordinate with Sales, Program Management, Engineering, Quality, Planning, Operations, Purchasing, Logistics, and Finance to support order acceptance and execution readiness.
  • Prepare the administrative elements required for the Delivery Assurance Gate and internal execution handover.
  • Support the formal handover of confirmed orders to the execution teams by ensuring all necessary information, risks, and commitments are clearly documented.
  • Track and follow up on order modifications, open points, and internal action items.

Customer and Financial Follow-Up

  • Monitor customer order status and provide updates as required.
  • Coordinate with Finance on customer credit checks, overdue payments, and order-related financial issues.
  • Support monthly order portfolio reviews and ensure ERP data consistency.
  • Maintain and update customer and prospect records as required.

Reporting and Continuous Improvement

  • Prepare or contribute to customer and internal reporting related to order status, order changes, and portfolio follow-up.
  • Identify process gaps and propose improvements in order administration practices.
  • Support the dissemination of best practices in sales administration and ERP usage.

 

REQUIRED QUALIFICATIONS

  • Associate degree, bachelor’s degree, or equivalent experience in Business Administration, International Trade, Sales Support, or a related field.
  • Previous experience in Sales Administration, Order Management, Customer Service, or a similar administrative/commercial role.
  • Experience in an industrial or aerospace environment is preferred.

Required Skills and Competencies

  • Strong knowledge of sales administration and order management processes.
  • Proficiency with ERP systems and Microsoft Office tools, especially Excel. (SAGE X3)
  • Good understanding of international trade practices, including Incoterms and commercial terms.
  • Strong analytical, organizational, and documentation skills.
  • Excellent written and verbal communication skills in English.
  • Ability to manage multiple priorities accurately and efficiently.
  • Strong sense of accountability, confidentiality, and customer orientation.
  • Ability to work collaboratively across functions and influence stakeholders without direct authority.
