About the Role
We are looking for a reliable, sharp, and organized Administrative Assistant to keep our Northbrook office running smoothly. You will have Direct, 1-on-1 training and mentorship from our lead Administrative Assistant to set you up for success. This is a Full-Time, Contract-to-Hire position that is 100% on-site.
What You’ll Do
- Executive Support: Manage schedules, set up meetings, book travel, and make sure managers have what they need for important calls and appointments.
- Office Operations: Greet guests, handle incoming mail and packages, order supplies, and work with vendors to keep the office running cleanly and efficiently.
- Filing & Paperwork: Draft letters, build basic reports, format presentations, and keep physical and digital files organized.
- Expenses & Books: Help track receipts, review expenses, and assist with basic entry for bookkeeping as needed.
- Phones & Front Desk: Answer incoming calls, take clear messages, and route calls to the right person with a friendly, professional attitude.
What We’re Looking For
- Experience Level: Open to recent college graduates or individuals early in their administrative/office career. Prior internship or office experience is a plus, but not required.
- Computer Skills: Comfortable using standard office software (Microsoft Office or Google Workspace) and quick to learn new tools or software.
- Work Ethic: Highly organized, strong attention to detail, trustworthy with confidential financial/business info, and proactive about getting things done.
- Education: High school diploma or equivalent required (college degree or extra business training is a bonus).
