Role Overview
The Operations Coordinator will support the Director of Operations by owning day-to-day operational tasks critical to the success of DCAC events. This role is designed for someone who is highly task-driven, eager to learn, and ready to grow into deeper ownership of systems, tools, and processes. The ideal candidate thrives in a fast-paced environment, communicates clearly across teams, and takes pride in executing details that drive event success.
Core Mission
Ensure the effective and timely completion of operational tasks vital to the success of DCAC events.
Key Responsibilities
Operational & Platform Management
- Manage and maintain event platforms including Cvent and CRM systems (HubSpot and/or Salesforce).
- Ensure data accuracy, task tracking, and system updates across tools.
- Support registration, reporting, and internal workflows tied to events.
Cross-Team Coordination
- Act as a key liaison between Operations and Sales, ensuring alignment on timelines, deliverables, and priorities.
- Communicate status updates, needs, and risks clearly and proactively.
Vendor & Event Support
- Source, vet, and coordinate with vendors (event services, logistics, partners).
- Track vendor deliverables, timelines, and operational requirements.
- Support on-site and pre-event logistics as needed.
Process & Execution
- Execute assigned operational tasks with speed, accuracy, and follow-through.
- Identify gaps, inefficiencies, or risks and escalate or solve proactively.
- Support the continuous improvement of systems, tools, and workflows.
Success Milestones
First 4 Months
- Full understanding of the DCAC event, operational workflows, and what success looks like.
- Demonstrates how their work directly contributes to event success.
- Executes assigned tasks independently with minimal oversight.
By 6 Months
- Ownership over core task-driven items, tools, and systems.
- Becomes a trusted operational resource for both Ops and Sales.
- Anticipates needs and proactively manages responsibilities.
By 12 Months
- Contributes as a strategic team member focused on improving overall team and event success.
- Helps refine processes, systems, and execution standards.
- Actively supports scaling and efficiency across operations.
