Position Overview:
The Administrative Coordinator supports the daily operations of the condominium association by performing administrative, organizational, and clerical duties. This role helps ensure efficient office operations and provides consistent, professional support to management, staff, homeowners, residents, and vendors.
Key Responsibilities:
Scheduling Support:
- Assist with scheduling meetings, inspections, maintenance tasks, and contractor visits.
- Coordinate calendar updates and communicate schedule changes to relevant parties.
Administrative & Office Duties:
- Perform filing, data entry, document organization, and general office upkeep.
- Draft, prepare, and post notices throughout the property as needed.
- Organize digital and physical records to ensure easy access and compliance.
- Greet visitors, answer phones, and assist residents with administrative inquiries.
Operational Support:
- Assist management and maintenance teams with day-to-day coordination.
- Help track inventory of office supplies and request replenishments as needed.
- Support special projects or additional administrative tasks as assigned.
Parking Management:
- Oversee the parking pass system, including issuing, renewing, and tracking passes.
- Monitor parking lots for compliance and report unauthorized or improper usage.
- Maintain up-to-date records of vehicle registrations and assigned parking spaces.
Tenant Tracking & Records:
- Maintain accurate resident and owner information in management systems.
- Update logs, databases, and occupancy records as changes occur.
- Support move-in/move-out documentation and communication.
Qualifications:
- Strong organizational skills with a high attention to detail.
- Ability to manage multiple tasks and priorities efficiently.
- Comfortable with databases, spreadsheets, and basic office software.
- Strong communication and customer-service skills.
- Ability to work both independently and as part of a team.
