POSITION TITLE: Administrative Coordinator
DEPARTMENT: Fire Department

PAY GRADE: (105) $41,558.40
General Summary
This is an administrative position supporting all aspects and functions of the Fire Rescue Services Department. Responsible for performing technical, clerical and administrative duties in support of departmental operations, and public communications. Work requires the exercise of good judgement, professionalism, and confidentiality and is performed under general supervision in accordance with established procedures. Reports to the Fire Chief or designee.
Primary Duties and Responsibilities:
Serve as receptionist for walk-in residents/customers seeking services or information.
Greets and assists the public and other visitors in person and via telephone, providing information, assistance, screening and taking messages.
Supports departmental capital improvement and construction projects through coordination with contractors, permitting agencies, and other City departments.
Track all budget expenditures and assists with budget preparation and monitoring.
Resolves administrative issues through preparation of reports, analysis of data, and identification of solutions.
Maintains inventory of office supplies and orders supplies, materials and parts as needed.
Creates, organizes, and maintains departmental and division records and files.
Process purchase orders and p-card transactions, keeping detailed electronic records of department purchases. Work with Finance to complete capital project purchase orders.
Process department mail.
Research public records requests.
Files appropriate documents with the state and federal agencies.
Maintains educational, certification, and licensing records for department personnel.
Composes correspondence independently and prepares reports and other administrative documents.
Prepares agenda packet materials and supporting documentation as requested.
Schedules departmental activities, meetings, and events and distributes related information.
Updates the Fire Rescue Services Department website.
May be required to return to work to assist with emergency management preparation, response and/or recovery activities.
Foster positive employee relations and employee morale on a City-wide basis.
Performs other related work as required.
Job Specifications:
High school diploma required; associate’s degree in business administration, public administration or related field preferred
4–5 years of progressively responsible administrative or clerical experience required; municipal or public safety experience preferred
Vocational or technical training in computer operations, business, and/or accounting preferred
State of Florida Notary Public required or able to obtain within six (6) months from date of employment
Valid Florida driver’s license required
Any equivalent combination of training and experience, which provides the required knowledge, skills and abilities
