Position Summary

The Senior Executive Assistant provides high-level executive and administrative support to the Head of School, Chief of Staff, Head of Lower School, and Head of Middle & Upper School. Serving as the administrative leader of the School's executive team, this position manages the daily operations, coordination, and communication that enable executive leadership to effectively advance the School's mission and strategic priorities.

This role oversees complex executive calendars, Board governance administration, accreditation support, executive communications, institutional records, and cross-functional administrative projects while serving as a central point of coordination for the executive leadership team. The Senior Executive Assistant anticipates executive needs, exercises exceptional judgment and discretion, manages competing priorities, and ensures the efficient execution of executive operations in a fast-paced independent school environment.

Success in this role requires outstanding organizational and project management skills, professionalism, attention to detail, technological proficiency, and the ability to build strong relationships while maintaining the highest level of confidentiality and providing exceptional service to trustees, faculty, staff, families, donors, and other members of the school community.

Essential Functions

  • Provide high-level executive and administrative support to the Head of School, Chief of Staff, Head of Lower School, and Head of Middle & Upper School, anticipating priorities and exercising sound judgment in managing executive time, requests, scheduling, delegation, and follow-through
  • Manage complex executive calendars, prioritizing competing demands, scheduling meetings, coordinating travel, and arranging school and community engagements
  • Serve as the primary liaison for the executive leadership team by coordinating correspondence, presentations, reports, announcements, newsletters, and other communications while ensuring timely responsiveness
  • Coordinate executive meetings, leadership meetings, retreats, and planning sessions, including scheduling, logistics, meeting materials, minutes, and follow-up on assigned action items
  • Demonstrate flexibility in responding to the evolving needs of the executive leadership team by providing administrative and operational support for daily school operations, special projects, institutional priorities, and other assignments as needed
  • Provide comprehensive administrative support to the Board of Trustees and Board committees, including meeting scheduling, agendas, meeting materials, trustee onboarding, governance calendars, and maintenance of official Board records
  • Prepare and maintain Board meeting minutes, resolutions, governance records, and other official documentation while ensuring accuracy, confidentiality, and compliance with recordkeeping practices
  • Coordinate administrative support for accreditation and school improvement initiatives by organizing documentation, maintaining evidence repositories, tracking timelines, collecting artifacts, and ensuring completion of required deliverables
  • Maintain highly confidential executive, governance, institutional, and historical records, correspondence, and official documentation to support organizational continuity and compliance
  • Maintain the School's master calendar, coordinating institutional events and executive priorities across divisions
  • Coordinate purchase order requests, executive purchasing activities, and expense processing in accordance with School procedures
  • Provide administrative coordination for executive, institutional, and special projects by monitoring timelines, coordinating stakeholders, tracking deliverables, and ensuring timely completion of assigned responsibilities
  • Develop, document, and continuously improve executive team procedures, administrative workflows, and technology solutions that increase efficiency and support effective executive operations
  • Welcome trustees, donors, prospective families, community partners, and other visitors to campus, providing a professional, responsive, and hospitable experience that reflects the School's mission and culture

Qualifications

  • Bachelor's degree preferred; equivalent combination of education and professional experience considered
  • 5 years of progressively responsible executive support or project management experience
  • Experience in an independent school, higher education, or nonprofit organization preferred
