About the Role
We’re looking for a highly organized, detail-oriented, and proactive Project Coordinator to join our growing team in Paterson, NJ. This role is central to our operations, ensuring projects run smoothly from contract to completion. You’ll handle everything from contracts and SOW/SOV documents to invoicing, client communication, and sample coordination. If you’re someone who never lets details slip through the cracks, this is the role for you.
Key Responsibilities
· Contracts & Documentation: Prepare, review, and manage contracts, SOWs (Scope of Work), and SOVs (Schedule of Values) with accuracy and attention to detail.
· Invoicing: Create and manage invoices tied to project milestones; coordinate with internal teams to ensure accurate billing and timely payments.
· Samples & Shipping: Coordinate color sample preparation and shipping to clients, track requests, confirm selections, and manage logistics for material shipments.
· Client Communication: Serve as a key point of contact for clients, providing updates, documentation, and clear communication throughout each project.
· Team Coordination: Work closely with design, sales, logistics, and installation teams to ensure deliverables align with project scope and deadlines.
Qualifications
· 3 years of experience in project coordination, contract administration, or operations within construction, cabinetry, interior design, or related industries.
· Proven experience preparing and reviewing SOW and SOV documents.
· Proficiency in Microsoft Office Suite and Canva.
· Exceptional organizational skills — nothing slips through the cracks.
· Strong written and verbal communication skills.
· Calm, proactive, and solutions-driven under pressure.
