Position Summary
The Office Manager will be responsible for managing the administrative and operational functions of the firm while ensuring a professional, organized, and welcoming environment. This role requires fluency in English and Spanish (spoken and written) and strong organizational and interpersonal skills.
Key Responsibilities
- Manage day-to-day office operations and administrative workflows
- Serve as the primary point of contact for clients, including bilingual communication
- Schedule appointments, manage calendars, and coordinate meetings
- Oversee phone systems, emails, and front-desk activities
- Maintain client files, records, and confidentiality standards
- Assist with billing, invoicing, and basic bookkeeping tasks
- Coordinate with accounting staff to support workflow and deadlines
- Manage office supplies, vendors, and facilities
- Support onboarding of new employees and internal office procedures
Qualifications
- Fluency in English and Spanish required
- Previous experience as an Office Manager, Administrative Manager, or similar role
- Experience in an accounting, finance, or professional services firm an advantage
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office and office management software
- High level of professionalism, discretion, and attention to detail
