What are the responsibilities and job description for the Executive Administrator position at Dave & Adam's Card World?
Position Overview
Dave & Adam’s Card World is seeking a highly organized, driven, and execution-focused Executive Administrator to work directly with the Owner across a wide range of business priorities.
This is not a traditional administrative role. The Executive Administrator will serve as an extension of the Owner, helping turn conversations, ideas, meetings, and strategic initiatives into clear action and measurable results.
A major focus of this position will be follow-up, accountability, product management, and project execution. The ideal candidate is someone who naturally keeps track of details, pushes projects forward, follows up relentlessly, and makes sure commitments do not get lost in the day-to-day pace of the business.
The successful candidate will be comfortable working across departments, communicating with executives and employees at all levels, managing multiple priorities simultaneously, and taking ownership of projects from idea through completion.
Key Responsibilities, Follow-Up & Accountability
- Serve as the Owner's primary point person for tracking important initiatives, commitments, and action items.
- Attend key meetings and translate discussions into clear responsibilities, deadlines, and next steps.
- Consistently follow up with department leaders and team members to ensure commitments are completed.
- Maintain a centralized system for tracking projects, deadlines, decisions, and outstanding items.
- Identify projects or tasks that are falling behind and proactively work with the appropriate teams to get them back on track.
- Provide the Owner with concise updates on progress, roadblocks, decisions needed, and overdue items.
- Create accountability throughout the organization without unnecessarily adding bureaucracy.
Product & Project Management
- Help manage product-related initiatives across Dave & Adam’s various business units and product categories.
- Coordinate product launches and special projects from concept through execution.
- Work across purchasing, e-commerce, marketing, operations, technology, retail, and other departments to ensure product initiatives stay on schedule.
- Develop and maintain project timelines, deliverables, ownership, and milestones.
- Identify bottlenecks and proactively resolve issues that could delay a product or project.
- Ensure decisions made by the Owner are communicated clearly to the appropriate teams and implemented.
- Follow up on product ideas and opportunities to ensure strong concepts are evaluated and acted upon rather than lost among competing priorities.
- Assist with evaluating new products, business opportunities, partnerships, and strategic initiatives.
Executive Support & Business Execution
- Act as a trusted extension of the Owner across the organization.
- Help prioritize the Owner's numerous projects, ideas, opportunities, and business initiatives.
- Prepare concise summaries and decision materials for important business issues.
- Conduct research and gather information needed to evaluate opportunities and make decisions.
- Coordinate communication between the Owner and department leaders.
- Take ownership of special projects that may fall outside traditional departmental responsibilities.
- Help turn high-level ideas into actionable plans with clearly defined owners and deadlines.
- Recognize when something requires the Owner's attention versus when it can be resolved independently.
- Maintain a high level of confidentiality and discretion regarding company strategy and sensitive business matters.
