Job Overview
The Legal Assistant supports the efforts of the Development Law Department’s NRO and PLA teams and Darden’s business in general by communicating with others, researching issues and completing forms and performing legal activities. The Legal Assistant serves as a point of contact for various customers (e.g., outside counsel, internal Darden teams) in responding to requests for information. Work is performed under the supervision of the Department’s Manager and Attorneys.
Roles And Responsibilities
The Legal Assistant supports the efforts of the Development Law Department’s NRO and PLA teams and Darden’s business in general by communicating with others, researching issues and completing forms and performing legal activities. The Legal Assistant serves as a point of contact for various customers (e.g., outside counsel, internal Darden teams) in responding to requests for information. Work is performed under the supervision of the Department’s Manager and Attorneys.
Roles And Responsibilities
- Provides administrative support for Department Attorneys, Paralegals and outside counsel
- Compiles leases and exhibits, including SNDA’s and MOL’s, obtains signatures and notaries, scans, prepares transmittal letters and creates UPS labels for lease packages
- Performs activities, including responding to requests, finding and obtaining pertinent information, and completing forms and documents
- Creates and manages hard-copy files and electronic databases
- Submits and tracks invoices using Oracle and completes vendor setup
- Processes various check requests in Oracle
- Processes incoming Tenant Allowance and/or Reimbursement checks
- Processes outgoing wire requests by completing wire transfer forms, obtaining signatures, and sending to Treasury Department for processing and follow up
- Coordinates special events, department events, birthdays, anniversaries, etc.
- Updates and runs various internal reports using information systems (e.g., Oracle, Legal Tracker, Lucernex); may create documents including summaries, graphs, and charts; shares reports with members of the Development Law Department (e.g., attorneys)
- Sorts, prioritizes and distributes mail
- Manages Outlook calendars as assigned
- Coordinates department meetings, including scheduling conference calls and Teams meetings
- Prepares expense reports for department attorneys
- Makes travel and conference arraignments
- Maintains integrity and confidentiality of confidential data, materials, communication, and information.
- Closes out files upon file turnover and sends to imaging
- Submits Krowd tickets for various requests as needed
- Orders Certificates of Good Standing and various other corporate documents
- Responds to requests for Certificates of Insurance
- Records various real estate related documents via Simplefile
- Prior experience as a Legal Secretary/Assistant preferred
- Knowledge and ability to use computers and various programs and information systems (e.g., MS Office Suite, Adobe)
- Knowledge and understanding of common legal terms, policies, rules, regulations, and laws within the practice area
- High school diploma required; Associates degree preferred
- Equivalent education, training, or experience may be considered
- Ability to complete work accurately
- Ability to multi-task, organize and plan work/tasks
- Ability to plan and prioritize based on changing demands and needs
- Ability to reprioritize in a fast-paced environment and to respond quickly to urgent requests
- Ability to synthesize data and determine appropriate follow-up actions
