Duties
- Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and other office management tools to support administrative tasks
- Assist with bookkeeping duties including basic invoicing and expense tracking
- Support office management activities by maintaining supplies inventory, organizing files, and ensuring a tidy workspace
- Provide customer support via phone or email by addressing inquiries promptly and professionally
- Support clerical functions such as copying, scanning, and mailing documents as needed
- Contribute to a positive office environment through effective time management and organizational skills
Experience
- Prior office experience or administrative support in a professional setting is preferred
- Proven customer service skills with the ability to handle diverse inquiries efficiently
- Familiarity with multi-line phone systems and front desk operations is essential
- Experience with QuickBooks or bookkeeping software is a plus
- Bilingual proficiency (English/Spanish or other languages) is highly desirable to serve diverse clients and staff
- Strong computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and general data entry skills
- Demonstrated organizational skills with attention to detail in proofreading and filing tasks
- Personal assistant or medical/dental receptionist experience is advantageous but not required
