We are currently looking for a detail-oriented, highly organized Partnership & Activations Coordinator (Contract) to support our team during peak festival season. This role is critical in ensuring our sponsorships and brand activations are executed seamlessly, with a strong focus on logistics, communication, and administrative support.
Key Responsibilities
- Upload contract links and final documents to Airtable once signed
- Maintain document organization with standardized naming conventions
- Ensure complete internal handoff of all new deals, including intake forms, final contracts, and notifications to AMs
- Manage calendars and meetings for Account Managers
- Book travel and accommodations
- Support onboarding by tracking documentation (contracts, COIs, asset forms)
- Support deliverables tracking in Airtable, Google Drive, and Lennd
- Support signage approvals, menu builds, and activation tracking
- Submit partner logos to the marketing/web team
- Ensure brand updates are reflected on websites, mobile apps, and press releases
- Create ticket calculator forms and attach to Ticketing Airtable
- Track Will Call submissions and confirm with the ticketing team
- Coordinate shipment of ticket/credential packets
- Schedule activation and concession calls
- Join calls and take detailed notes for follow-up
- Attach contracts and DPMs in Airtable
- Create and manage Google Drive folders using standard naming conventions
- Maintain billback grids and checklist progress
Preferred Qualifications
- 1-2 years of relevant experience in account coordination, sponsorship support, or event management.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks effectively.
- Excellent communication and interpersonal skills.
- Solution-oriented and able to maintain a positive attitude under pressure.
- Willingness to travel and work non-traditional hours (nights, holidays, weekends).
Salary is DOE. This role is ideally based in Nashville or Los Angeles. Open to remote.
