We are currently looking for a detail-oriented, highly organized Partnership & Activations Coordinator (Contract) to support our team during peak festival season. This role is critical in ensuring our sponsorships and brand activations are executed seamlessly, with a strong focus on logistics, communication, and administrative support. The ideal candidate thrives in a fast-paced environment, is comfortable managing multiple workstreams at once, and brings a proactive, solutions-oriented mindset to every task. Passion for live events and brand partnerships is a major plus.
Maintain organized records of contracts, documents, and deal materials within internal systems
Ensure accurate and complete handoff of new partnerships, including documentation and internal notifications
Manage calendars, scheduling, and meeting coordination for team members
Coordinate travel and accommodations as needed
Support onboarding processes by tracking required documentation (e.g., contracts, insurance, forms)
Assist in tracking deliverables across internal platforms and shared drives
Support approval workflows for creative assets, signage, and activations
Coordinate submission of partner assets to relevant internal teams
Ensure brand updates are reflected across digital platforms and materials
Assist with ticketing logistics, including tracking submissions and coordinating with internal teams
Schedule and support internal and external calls; document key takeaways and next steps
Maintain organized file structures and naming conventions across shared systems
Track progress of key deliverables, budgets, and checklists
Preferred Qualifications
1–2 years of experience in coordination, events, partnerships, or administrative support
Strong organizational skills with high attention to detail
Ability to manage multiple projects simultaneously in a deadline-driven environment
Excellent written and verbal communication skills
Problem-solving mindset with a proactive, team-oriented approach
Proficiency in tools such as Airtable, Google Workspace (Docs, Sheets, Drive, Calendar), and similar project management or CRM platforms is required
Salary is DOE. This role is ideally based in Nashville or Los Angeles.
