The Administrative Assistant is a vital member of the Dancing For Joy team, helping create a welcoming, organized, Christ‑centered environment where dancers and families feel seen, supported, and encouraged. Responsibilities
- Family Experience & Front Desk Hospitality
- Serve as the warm, attentive first point of contact for dancers and families.
- Greet every student with kindness and encouragement, modeling the studio’s culture of respect and modesty.
- Answer phone calls, emails, and in‑person questions with clarity, patience, and a solutions‑oriented mindset.
- Support families with registration, tuition questions, class placement, and general studio guidance.
Administrative & Operational Support
- Maintain accurate class rosters, attendance records, and student files.
- Process payments, invoices, and financial transactions with confidentiality and precision.
- Contact families regarding outstanding balances with clarity, kindness, and consistency, ensuring they understand next steps and any impact on lessons.
- Assist with scheduling private lessons, rehearsals, and studio rentals.
- Keep digital and physical filing systems organized and up to date.
- Prepare materials for instructors, events, and meetings.
Communication & Coordination
- Draft and send studio‑wide communications, reminders, and updates in a warm, family‑friendly tone.
- Coordinate with instructors to support smooth class transitions and daily operations.
- Assist with parent meetings, auditions, performances, and special events.
- Help maintain a unified, positive team environment through timely, respectful communication.
Studio Environment & Culture
- Maintain a clean, safe, and welcoming lobby and front‑desk area.
- Reinforce studio policies with kindness, clarity, and consistency.
- Protect the well‑being and modesty of all students through attentive supervision.
- Contribute to a culture where every dancer feels valued, encouraged, and empowered to grow in confidence and character.
Skills
- Strong communication skills—warm, clear, and professional.
- Highly organized with excellent attention to detail.
- Comfortable with technology (email, scheduling software, spreadsheets, payment systems, Dance Studio Pro).
- Ability to multitask in a fast‑paced environment while remaining calm and kind.
