Description:

The Medical Office Assistant (MOA) provides direct clinical and administrative support under the supervision of licensed providers and site leadership. This role supports patient care delivery, maintains accurate health records, and ensures a respectful, safe, and efficient patient experience in compliance with DFCC’s policies and regulatory standards.

Essential Job Duties

Patient Care & Clinical Support

  • Assist providers with patient visits, including preparing exam rooms and supporting patient flow
  • Obtain and document vital signs and patient health information in the EHR
  • Perform venipuncture and specimen collection in accordance with training and policy
  • Process laboratory orders, track results, and report abnormalities to providers
  • Conduct waived testing and quality control procedures per clinical protocols
  • Provide patient education materials and administer screenings (e.g., depression, PreP- related, tobacco use)
  • Follow infection control standards, OSHA guidelines, and universal precautions

Patient Experience & Communication

  • Deliver courteous, culturally respectful, and professional patient interactions
  • Facilitate communication between patients, providers, and care teams
  • Conduct appointment reminder calls and no-show outreach per policy
  • Assist with referrals and coordination of specialty care when directed

Documentation, Compliance & Health IT

  • Accurately document patient encounters in the electronic health record
  • Maintain confidentiality and comply with HIPAA and patient rights regulations
  • Handle electronic protected health information (ePHI) securely
  • Support accurate chart management, record retrieval, scanning, and filing

Front Desk & Administrative Support (as assigned)

  • Verify patient demographics, insurance, and PCP information each visit
  • Support scheduling workflows and patient portal enrollment
  • Maintain organized medical records and appointment systems

Operational & Team Responsibilities

  • Monitor exam room supplies and request replenishment as needed
  • Report equipment concerns or malfunctions promptly
  • Collaborate effectively with interdisciplinary care teams
  • Follow organizational policies, professional conduct standards, and attendance requirements

Non-Essential Duties

  • Assisting with community outreach or special clinic initiatives
  • Supporting training activities, meetings, or in-service programs
  • Additional administrative or clerical tasks as assigned


Requirements:

High School Diploma or equivalent required

Certificate from an accredited Medical Assistant or Medical Office Assistant program required

Current BLS certification (American Heart Association) required

Minimum 1 year of experience preferred; ambulatory care experience a plus

Proficiency in EHR systems and data entry

Strong organizational, communication, and customer service skills

Ability to work independently and as part of a team

Fluency in English required; Spanish bilingual preferred

Ability to lift up to 20 pounds and handle medical supplies or equipment
