Duties
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using professional phone etiquette.
- Handle incoming correspondence, emails, and inquiries with promptness and accuracy.
- Maintain appointment calendars, schedule meetings, and coordinate conference room bookings using Microsoft Office and Google Workspace tools.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and maintaining cleanliness of the reception area.
- Assist with clerical duties including typing reports, managing customer support requests, and supporting administrative projects as needed.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and basic data entry skills.
- Prior experience in customer service or customer support roles with a focus on professionalism and clear communication.
- Ability to handle multi-line phone systems confidently while maintaining courteous phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong organizational skills with attention to detail in proofreading, filing, and managing schedules.
- Personal assistant or medical/dental receptionist experience is a plus but not required.
