The Dallas Nephrology Associates Nutrition Department is seeking a Centralized Scheduler to provide critical administrative support. This role is responsible for managing appointments for dietitians across multiple clinic locations. Serving as a vital connection among patients, providers, clinic staff, and billing teams, the scheduler helps ensure a seamless and supportive experience for patients managing chronic conditions. This position is ideal for a calm, patient, and highly organized professional who works well independently and balances daily efficiency with a strict attention to detail and accuracy.
Key Duties & Responsibilities:
- Schedule Management: Manage the centralized scheduling work queue for dietitian appointments, efficiently and accurately following specific workflows for various patient situations.
- Referral & Authorization Review: Methodically review incoming provider referrals, check recent patient labs, and verify payer pre-auth responses (including Medicare and HMOs) prior to scheduling.
- Patient Communication: Navigate incoming phone calls and messages with a calm and patient demeanor, ensuring all scheduling details and communications are thoroughly documented.
- Team Collaboration: Communicate daily with dietitians, front-office staff, nurses, and billing teams utilizing EHR messaging, email, and internal chat platforms to keep workflows moving seamlessly.
- Independent Task Management: Work independently to manage daily scheduling needs, maintaining strict HIPAA compliance, patient confidentiality, and a high standard of accuracy.
Requirements & Qualifications:
- Precision & Organization: Highly organized and detail-oriented, with a proven ability to efficiently manage multi-step workflows while ensuring accurate data entry and documentation.
- Patient-Focused & Calm: A strong customer service mindset with a pleasant, professional, and exceptionally patient approach to helping others.
- Independence: Comfortable working independently and managing your own tasks steadily and reliably, while knowing when to collaborate with the wider team.
- Experience: Prior experience in multi-provider healthcare scheduling, front-office operations, or specialty clinic scheduling. (A Certified Medical Assistant (CMA) or Medical Assistant (MA) background is highly preferred!)
- Knowledge: Basic understanding of medical terminology and familiarity with insurance authorizations and referral workflows.
- Technology: Strong computer skills, including proficiency in Epic (or a similar EHR system), Google, and team messaging platforms.
- Language: Bilingual (English/Spanish) abilities are strongly preferred.
Pay: $23.00 - $27.00 per hour
