Job Summary
We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our administrative operations, ensuring smooth communication, efficient office management, and exceptional customer support. Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle inquiries, schedule appointments, and relay messages promptly
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
  • Perform data entry tasks accurately, including updating records and managing calendars for multiple team members
  • Provide exceptional customer service by supporting clients, vendors, and internal staff with professionalism and courtesy
  • Assist with office management tasks such as supply ordering, mail distribution, and maintaining cleanliness of common areas
  • Support bookkeeping activities using QuickBooks or similar software to track expenses and invoices when needed

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly preferred to assist diverse client interactions and internal communications
  • Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is essential
  • Knowledge of medical or dental receptionist duties is a plus but not required; strong phone etiquette is mandatory
  • Personal assistant or administrative experience demonstrating reliability, discretion, and excellent communication skills
