Position Overview:

The Operations & Facilities Supervisor is responsible for overseeing the day-to-day operations, facility management, and safety of the Dakota Woodlands building. Reporting to the Director of Operations, this role ensures the shelter operates safely, efficiently, and in alignment with organizational policies.


This position supervises the Front Desk Specialist, Overnight Client Support Specialists, and Facility Support Specialist, ensuring staff are trained, supported, and following operational procedures. The Operations & Facilities Supervisor helps coordinate facility upkeep, building security, operational logistics, and staff coverage across shifts.


Working in a family shelter environment, this role collaborates with multiple departments to maintain a safe, organized, and welcoming environment for clients, staff, and visitors.

Areas of Responsibility:

Staff Supervision & Team Leadership:

  • Supervise and support the Front Desk Specialist, Overnight Client Support Specialists, and Facility Support Specialist to ensure consistent operations across all shifts.
  • Provide onboarding, training, and ongoing coaching to staff on operational procedures, safety protocols, and facility expectations.
  • Develop and manage staff schedules in coordination with the Director of Operations to ensure adequate operational coverage across shifts.
  • Conduct regular check-ins with staff to address operational challenges, reinforce expectations, and support professional development.
  • Promote professionalism, accountability, and effective teamwork among operations staff.
  • Address performance concerns and escalate staffing or disciplinary issues to the Director of Operations when appropriate.

Facility Operations & Building Oversight:

  • Oversee the day-to-day condition, safety, and functionality of the Dakota Woodlands facility.
  • Conduct regular facility walkthroughs to ensure the building is clean, organized, and functioning properly.
  • Identify facility maintenance needs and coordinate repair requests with vendors or contractors as directed by the Director of Operations.
  • Ensure common areas, offices, and client spaces remain clean, safe, and operational.
  • Monitor building systems including alarms, security systems, and operational equipment to ensure proper functioning.
  • Assist with room turnovers, furniture assembly, equipment installation, painting, or simple facility projects.
  • Assist the Director of Operations with preventive maintenance planning and facility improvement projects.
  • Report facility risks or infrastructure concerns that could disrupt shelter operations.

Safety & Security Oversight:

  • Ensure operational staff follow building safety procedures, visitor protocols, and security practices.
  • Oversee implementation of building security procedures including visitor access, alarm systems, and facility monitoring.
  • Ensure incidents and safety concerns are documented properly and reported according to organizational protocols.
  • Respond to operational or safety concerns that arise during shifts and escalate urgent matters to leadership.
  • Promote a safe and structured environment for clients, staff, and visitors.

Operational Coordination & Shift Continuity:

  • Ensure smooth day-to-day operations across the facility including front desk coverage, overnight monitoring, and facility readiness.
  • Maintain clear communication between daytime, evening, and overnight operational staff to ensure continuity of procedures and safety practices.
  • Coordinate operational logistics including shared space setup, supply management, and facility readiness for daily programming and services.
  • Ensure operational policies and procedures are consistently followed across all shifts.
  • Address operational issues and coordinate solutions with the Director of Operations.

Documentation & Operational Communication:

  • Ensure operational logs, incident reports, and facility documentation are completed accurately by staff.
  • Maintain clear communication with staff across shifts to support continuity of operations.
  • Communicate facility needs, operational updates, and safety concerns to the Director of Operations in a timely manner.
  • Serve as a point of contact for operational and facility-related issues during scheduled work hours.
  • Support internal communication related to operational procedures and facility updates.

Resource & Supply Coordination:

  • Monitor operational supply needs including cleaning materials, operational equipment, and facility supplies.
  • Communicate purchasing needs and supply shortages to the Director of Operations for approval and procurement.
  • Assist in organizing operational storage areas and maintaining inventory of commonly used supplies.
  • Support cost-conscious use of operational resources.

Team Collaboration & Professional Expectations:

  • Maintain professionalism and appropriate boundaries with clients and staff.
  • Collaborate with other departments to ensure coordinated services and smooth facility operations.
  • Participate in leadership meetings, staff meetings, and required trainings.
  • Support a respectful, organized, and mission-aligned work environment.
  • Assist with additional operational duties as assigned by the Director of Operations.

Qualifications:

  • High school diploma or equivalent required; coursework in social work, human services, education, operations, or related fields is a plus.
  • Experience supervising staff and managing schedules in operations, facilities, hospitality, or service-based environments.
  • Strong leadership, communication, and organizational skills with the ability to engage clients respectfully and professionally.
  • Ability to maintain professional boundaries and follow organizational policies.
  • Strong organizational skills and attention to detail.
  • Familiarity with facility operations, building systems, and maintenance coordination preferred.
  • Ability to manage multiple operational responsibilities in a fast-paced environment.
  • Experience working in nonprofit, shelter, or human services environments preferred.
  • Ability to work with diverse populations and maintain professionalism in sensitive situations.
  • Ability to respond to operational challenges in a dynamic 24-hour shelter environment and coordinate timely solutions when urgent facility or safety issues arise.
  • Proficiency in basic computer systems and communication tools.

Preferred Qualifications:

  • Experience working with families experiencing homelessness.
  • Knowledge of trauma-informed care and family-centered programming.

Working Conditions:

  • Full-time position based at Dakota Woodlands in Eagan, Minnesota.
  • Work is performed in a residential shelter environment serving families experiencing homelessness. The role may involve responding to sensitive or crisis situations and requires professionalism and sound judgment.
  • Occasional evening or weekend availability may be required to support facility operations, attend meetings or trainings, or address operational needs.
  • The Operations & Facilities Supervisor is expected to be available on-call outside of normal business hours, including weekends, to respond to urgent facility or operational issues when they arise.
  • Role may involve moderate physical activity including lifting supplies, moving equipment, setting up spaces, or assisting with facility needs.
  • Regular use of computers, email, and internal communication systems is required.
