Job Summary: This position will sit at our Fayetteville, NC Location
The Warranty Coordinator manages day-to-day warranty claims for appliance parts, from verifying eligibility to processing claims and working with manufacturers and vendors. This role demands strong organizational skills, in-depth knowledge of appliance parts, and effective follow-through to ensure timely and accurate claim resolution. The position is crucial for maintaining efficient operations and providing support to both the team and customers.
Key Responsibilities:
Warranty Claims Management
• Review and process warranty claims for appliance parts
• Verify eligibility based on serial numbers, documentation, and manufacturer guidelines
• Process return to vendor RMPO’s and credits
• Manage claim timelines, ensure accurate documentation, and drive claim success
• Liaise with customers, technicians, manufacturers, and vendors to resolve issues
• Process POs, return POs, invoices, and credit memos
• Maintain organized records and templates for claims, resubmittals, and customer interactions
• Mitigate claim denials and resolve stalled claims within 4-6 weeks
Parts Coordination
• Coordinate with suppliers and manufacturers for timely receipt of parts
• Support inside sales and counter teams with warranty-related tasks
• Address customer concerns or escalate as needed
Operational Support
• Communicate claim status updates to customers and internal departments and maintain accurate records
• Implement process changes from vendors and manufacturers
• Act as point of contact for escalated warranty issues
• Perform tasks as assigned by management team
Requirements
Qualifications & Skills:
• High school diploma or equivalent; associate's degree preferred
• 2 years of administrative or customer service experience, ideally in distribution
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
• Strong communication, organizational, and multitasking skills
• Professional and customer-focused demeanor; Works well with others
• Knowledge of shipping, logistics, and data entry accuracy
