Position Summary

The Softball Camp and Clinic Coordinator is responsible for planning, organizing, marketing, and overseeing all baseball and softball camps and clinics offered by the facility. This role ensures that all events are well-structured, properly staffed, effectively promoted, and executed at a high level to provide an outstanding experience for participants.

The Coordinator will manage the full lifecycle of camps and clinics—from scheduling and promotion to execution and financial reporting—and must be present to oversee all events.

Key ResponsibilitiesCamp & Clinic Planning and Management

  • Develop and maintain a monthly, quarterly, and annual calendar of softball camps and clinics.
  • Plan, organize, and execute all camp and clinic programming.
  • Structure camps appropriately by age group and skill level.
  • Prepare and communicate a written plan and instructional outline for instructors prior to each event.
  • Ensure camps operate smoothly and deliver a positive participant experience.
  • Be physically present to supervise and manage all camps and clinics.

Instructor Coordination

  • Schedule instructors for all camps and clinics.
  • Assign and organize instructors within Hub scheduling system.
  • Communicate camp structure, expectations, and instructional plans to all instructors.

Marketing & Promotion

  • Lead marketing efforts to promote camps and clinics, including:
  • Creating promotional flyers
  • Posting content on social media
  • Email marketing campaigns
  • Displaying promotional materials throughout the facility
  • Coordinating with instructors to distribute information to clients and members
  • Ensure consistent promotion of upcoming camps to maximize participation.

Financial Oversight

  • Track registration and participation for each camp and clinic.
  • Provide the owner with a Profit & Loss (P&L) report for every camp and clinic.
  • Monitor camp performance and identify opportunities to improve attendance and profitability.

Weekly Responsibilities

  • Attend the Monday 12:00 PM staff meeting with the General Manager, Assistant General Manager, and Baseball Director.
  • Post a minimum of two (2) camp-related social media updates per week.
  • Maintain and update the Customer database, including segmentation by age and gender for targeted marketing.
  • Upload and refresh promotional flyers and ensure marketing materials remain current throughout the facility.

Compensation

Compensation for this position includes:

  • Monthly Stipend: A fixed monthly stipend for ongoing planning, marketing, and administrative responsibilities.
  • Performance Commission: 10% commission on the net profit generated from each softball camp or clinic.
  • Will be paid for hours working camps & clinics and for lessons as an instructor

(Net profit is defined as total camp revenue minus direct camp expenses, including instructor payments and related operational costs.)

Preferred Qualifications

  • Experience in softball coaching, training, or program coordination
  • Background in sports programming, retail management, or customer service environments
  • Strong organizational and communication skills
  • Experience with social media promotion, email marketing, and event coordination
  • Ability to manage multiple events and schedules simultaneously
  • Reliable, professional, and comfortable interacting with athletes, parents, and staff

Pay: $30.00 - $40.00 per hour
