Portfolio Development Admin Job Description
The Portfolio Development Admin (PA) works directly with all departments at D’Argent Companies (DAD). This is a fast-paced role designed for someone eager to learn and grow while working closely with senior staff across the company. The ideal candidate is professional, responsible, highly detail-oriented, and technologically savvy.
Reports to:
The PO reports directly to the to the President of Real Estate.
Role Purpose:
The PO supports multiple departments to ensure smooth and efficient operations companywide. This position is designed for hands-on learning and development, offering exposure to property management, accounting, real estate, and marketing. It requires adaptability and initiative in a constantly evolving business environment.
General Duties:
· Provide administrative support across accounting, property management, marketing, and real estate teams
· Resolve front desk administrative issues and inquiries
· File and import accounting documents
· Research business development opportunities using online resources
· Learn and competently use company software, including Microsoft Office, QuickBooks, Yardi, QuickBase, ChatGPT, etc.
· Complete other tasks as assigned
Portfolio-Specific Duties:
· Field and respond to tenant calls
· Coordinate property repairs and maintenance
· Track insurance, lease expirations, and rent escalations
· Conduct monthly property inspections
· Review aging reports and follow up on late rent
· Collect, post, and deposit rent payments
· Create customer invoices (rent, late fees, projects, etc.)
· Assist with lease proofing and finalization in QuickBase
· Support accounting with daily tasks and reconciliations
· Prepare rent rolls and year-end NNN reconciliations
· Develop marketing plans for vacant spaces and long-term property strategy
· Manage company’s online presence (Facebook, LinkedIn, Google, YouTube, etc.)
· Coordinate media and advertising efforts with local and statewide outlets
· Keep properties current on LACDB, Crexi, and LoopNet
· Assist with company server maintenance to ensure uniformity
Procedures and Expectations:
· Adhere to the “DAD Way” and all company procedures
· Master use of Outlook tasks and calendar features for scheduling and coordination
· Use Microsoft Word branding themes and styles consistently, with the ability to train others
· Continuously learn company software to better assist all departments
· Competently operate all office tools (phones, laptops, copiers, printers, etc.)
