Overview
- We are seeking a Knowledge Management Specialist to help improve how employees create, organize, access, and leverage critical business knowledge across enterprise platforms. This role will focus on knowledge governance, content strategy, SharePoint Online administration, information architecture, and improving the overall employee experience within digital workplace environments. The ideal candidate is someone who can bridge content strategy, technology, and user experience - helping teams structure information effectively, improve searchability, maintain high-quality knowledge assets, and drive adoption of knowledge management practices. This role will partner closely with business stakeholders, subject matter experts, and content owners to assess existing knowledge repositories, improve content lifecycle processes, provide training, and optimize SharePoint-based solutions.
Knowledge Management & Content Governance
- Develop and maintain knowledge management practices that improve content quality, accessibility, and employee experience.
- Conduct content inventories, audits, and gap analyses to identify opportunities for improvement.
- Establish and maintain content governance standards, including: Taxonomy and metadata, Ownership models, Review cycles, Version control, Naming conventions, Content lifecycle management
- Partner with subject matter experts to transform complex information into clear, user-friendly resources including: Standard operating procedures (SOPs) , Quick reference guides, Training materials, Support documentation
- Configure and maintain SharePoint Online environments, including: Sites, Pages,
- Libraries, Lists, Metadata, Views, Permissions, Navigation, Web parts
- Support content organization, migration, archival, and retirement activities.
- Improve information discovery through better: Site structure, Search optimization, Metadata implementation, Navigation design, Content placement
- Serve as a knowledge management partner to business stakeholders and content owners.
- Provide guidance, onboarding, training sessions, and ongoing support to users.
- Facilitate knowledge sharing best practices and help teams maintain accurate, relevant content.
- Coordinate with technical teams when platform enhancements, defects, or configuration changes are required.
- Apply user-centered design principles to improve: Information architecture, Content discovery, Search experiences, Employee engagement
- Analyze content usage, search behaviors, and user feedback to identify improvement opportunities.
- Support AI-ready knowledge practices by improving content structure, metadata quality, ownership, and reliability.
- Bachelor’s degree in Knowledge Management, Business Administration, Information Systems, Computer Science, UX Design, Organizational Development, Data/Business Analytics, or related field OR equivalent professional experience.
- 3–5 years of experience in: Knowledge management, Content strategy, Digital workplace operations, Intranet management, Enterprise content management, Related specialist/practitioner roles
- Hands-on experience configuring and maintaining SharePoint Online, including: Sites, Pages, Libraries, Lists, Metadata, Permissions, Navigation, Web parts, Content lifecycle settings
- Experience implementing knowledge governance practices, including: Content audits, Ownership models, Review cycles, Version control, Archiving/retirement processes
- Strong understanding of: Information architecture, Taxonomy, Metadata, Search fundamentals
- Strong communication, organization, facilitation, and stakeholder management skills.
- Ability to train users, lead knowledge-sharing sessions, and provide ongoing support.
- Experience with Microsoft 365 tools including: Power BI, Power Automate, Power Apps, Microsoft Teams, Microsoft Search
- Experience analyzing search analytics, usage metrics, and content health data.
- Familiarity with: Accessibility standards, UX principles, Content design methodologies, User-centered design practices
- Experience supporting enterprise-scale intranets, digital workplace platforms, or distributed content ownership models.
- You are someone who enjoys bringing structure to complex information environments. You understand that successful knowledge management is not just about storing documents - it is about helping people find the right information quickly, trust the content they discover, and confidently use it to make decisions.
- You are comfortable working with both technical teams and business users, balancing SharePoint configuration skills with strong communication, organization, and change management abilities.
- Contract Duration: Initial 6-month contract with potential extension
- Work Model: Hybrid (primarily remote with occasional onsite collaboration; onsite expectations may evolve based on business needs)
- Location: Plano, TX area preferred
- $30-35/hr (W2)
