We are seeking a Contract Specialist that will play a crucial role in our accounting department by managing various contracts and compliance-related tasks. This position requires strong organizational skills, attention to detail, and the ability to coordinate effectively with internal departments, vendors, customers, and external partners. The ideal candidate is driven, proactive, and eager to learn, with a continuous improvement mindset and the ability to work independently with minimal direction while managing multiple priorities a fast-paced environment.


Most Important Responsibilities

  • Verify all required documents have been received, including signed contracts, tax documents, certificates of insurance, and supporting project documentation.
  • Ensure contract terms, pricing, totals, and project details align with internal records and customer agreements.
  • Serve as the primary internal resource for stakeholders on contract interpretation, distribution, and procedural questions.
  • Identify and flag risk issues, deviations from standard provisions, and non-conforming terms, then recommend practical, business-focused solutions.
  • Secure and maintain project-specific licenses and insurance requirements as necessary.
  • Intake and complete all customer-requested project setup requirements.
  • Maintain organized and complete job files so all departments have access to accurate up-to-date project information.
  • Manage the full contract lifecycle, including preparation, revision, negotiation, execution, and closeout of MSAs, Subcontracts, SOWs, NDAs, Purchase Orders, and related amendments.
  • Request certificates of insurance and enroll in CCIP and OCIP programs when required.
  • Communicate with customers regarding missing information, discrepancies, project requirements, and contract-related questions.
  • Conduct professional phone conversations with customers to resolve issues, clarify details, and navigate sensitive or complex situations when necessary.
  • Monitor and track contract status, ensuring all required approvals and documentation are completed in a timely manner.
  • Identify opportunities to improve and streamline contract administration processes and workflows.
  • Support leadership with additional administrative, operational, and special project tasks as needed.


What you can bring to the table to impact this role, team, and organization:

  • Bachelor’s degree in business administration, law, paralegal studies, project management, or a related field.
  • Extensive experience with Microsoft Office Suite and Adobe Acrobat.
  • Proficiency with contract management software such as Docusign and Ironclad.
  • Strong attention to detail, analytical thinking, and problem-solving skills.
  • Excellent communication, organizational, and interpersonal skills.
  • A proactive and independent work ethic as well as ability to work collaboratively.


Compensation: $60k

Salary : $60,000
