Personal / Executive Assistant
Location: Dallas–Fort Worth, TXEmployment Type: Part-Time (Minimum 30 hours per week, 4 days per week)
Position Overview
We are seeking an experienced, highly organized, and proactive Personal/Executive Assistant to provide comprehensive administrative and household support. This position requires someone detail-oriented, trustworthy, discreet, and capable of managing multiple priorities with minimal supervision.
The ideal candidate will have recent experience supporting an executive or private household and possess exceptional organizational and multitasking abilities.
Required Qualifications
- Minimum of 3–5 years of recent experience as a Personal Assistant or Executive Assistant.
- Bachelor's Degree in relevant field (Communications, Buisness Management, etc...)
- Current professional references.
- Ability to successfully pass a comprehensive background check.
- Excellent organizational, communication, and time management skills.
- High level of professionalism, discretion, and confidentiality.
- Strong attention to detail and the ability to prioritize multiple responsibilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and productivity tools such as Microsoft Outlook Calendar, and DocuSign.
Responsibilities
- Manage complex personal and business calendars, appointments, and scheduling.
- Schedule and coordinate medical, dental, and specialist appointments for the client and family members, ensuring follow-up care, maintaining accurate calendars, and coordinating with healthcare providers as needed.
- Coordinate all veterinary care for household pets, including wellness exams, specialist appointments, vaccinations, grooming, boarding, medication refills, and emergency visits.
- Coordinate household operations, including contractors, vendors, service providers, home repairs, preventative maintenance, and house and grounds maintenance.
- Oversee scheduling and follow-up for home improvement and maintenance projects to ensure work is completed on time and to expected standards.
- Organize and manage multiple ongoing personal and business projects while meeting deadlines.
- Provide administrative support for multiple business entities.
- Prepare and organize financial records, receipts, invoices, and supporting documentation for quarterly tax preparation and provide organized files to the CPA.
- Maintain organized digital and physical filing systems for household, business, insurance, and financial records.
- Screen calls, emails, and correspondence, and prioritize communications appropriately.
- Coordinate travel arrangements, reservations, and itineraries as requested.
- Perform light housekeeping duties as needed to help maintain an organized home.
- Prepare occasional meals.
- Run errands, including shopping, prescription pickups, post office visits, and other personal tasks.
- Assist with additional personal or administrative projects as assigned.
Household Environment
The successful candidate must genuinely enjoy working with animals. The household includes two senior dogs and one four-year-old rescue dog, so applicants should be comfortable scheduling their care and providing occasional assistance as needed.
Schedule
- Minimum 30 hours per week
- Four days per week
- Occasional flexibility may be required based on scheduling needs.
