Role Overview
This position serves as the primary administrator of the company's Digital Asset Management (DAM) system, overseeing the organization, governance, version control, metadata, and distribution of creative assets. Working closely with the Marketing Project Manager and Creative Director, this role participates in project kickoffs, status meetings, and creative reviews to ensure alignment across stakeholders while helping build scalable creative operations, improve efficiencies, and ensure teams have seamless access to approved brand assets.
Key Responsibilities
Project & Creative Workflow Management
- Support day-to-day project management for Brand Creative initiatives across campaigns, digital, social, retail, experiential, packaging, and content production.
- Build and maintain project timelines, ensuring deliverables stay on schedule and meet quality standards.
- Partner with the Marketing Project Manager and Creative Director to manage creative workflows, reviews, approvals, and production schedules.
- Coordinate asset requests and deliverables across designers, copywriters, photographers, videographers, retouchers, freelancers, agencies, and cross-functional partners.
- Monitor project milestones, proactively identify risks, and communicate timeline changes as needed.
- Perform other duties as assigned.
Digital Asset Management (DAM)
- Own the day-to-day management and organization of the Digital Asset Management (DAM) system.
- Maintain consistent file structures, metadata, tagging, naming conventions, version control, and archive processes.
- Ensure all creative assets are uploaded, organized, approved, and easily searchable for internal teams and external partners.
- Manage asset distribution and permissions while supporting usage rights and licensing documentation when applicable.
- Partner with Brand Creative leadership to establish DAM governance, workflows, and best practices that improve efficiency and scalability.
- Conduct regular audits to maintain asset accuracy, organization, and compliance.
Process & Creative Operations
- Maintain and continuously improve project management systems, workflows, and creative operations processes.
- Help document and implement creative processes, SOPs, and best practices.
- Support intake, prioritization, resource planning, and creative scheduling.
- Maintain consistency across project documentation, file organization, and internal handoff procedures.
- Help identify opportunities to improve efficiency across the creative team.
Quality & Execution
- Support creative review cycles and ensure assets meet brand standards before final delivery.
- Verify that final files are complete, organized, approved, and properly archived within the DAM.
- Identify project risks, bottlenecks, or resource constraints early and communicate solutions.
- Track project performance and contribute recommendations for improving workflows and team efficiency.

Qualifications
- 3–5 years of experience in creative project management, creative operations, brand marketing, or a related field.
- Experience supporting creative teams in an in-house brand or agency environment.
- Hands-on experience managing or administering a Digital Asset Management (DAM) platform.
- Strong understanding of creative production workflows, asset management, review processes, and version control.
- Excellent organizational, communication, and time management skills with exceptional attention to detail.
- Experience using project management platforms such as ClickUp, Asana, Monday.com, Wrike, or similar.
- Familiarity with Adobe Creative Cloud workflows and file management best practices.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Strong problem-solving skills with the ability to anticipate challenges and proactively drive solutions.
- Comfortable navigating ambiguity and translating evolving priorities into clear plans and actionable milestones.
- Collaborative, proactive, and highly organized with a passion for building scalable creative operations.
Work Location & Schedule
This position follows an enforced hybrid schedule, requiring team members to be present in our San Diego, California office at least four days per week (Monday–Thursday). Fridays are available for remote work. This role also requires attendance at all in-person monthly team meetings and quarterly company events.
Physical Requirements
This role primarily involves office-based work and requires the ability to occasionally lift, carry, or move items up to 20–30 pounds, such as files or office supplies. Employees should be able to sit or stand for extended periods and perform frequent computer-based tasks, including prolonged exposure to a computer screen.
Compensation & Benefits
The salary range for this position is $80,000-90,000 annually. Final compensation will be determined based on experience, skills, and qualifications relevant to the role.
