Position Overview
We are seeking an experienced Practice Manager to lead and optimize the daily operations of a growing public accounting/professional services firm. The Practice Manager will be responsible for overseeing firm operations, staff development, client service delivery, financial management, and process improvement initiatives to support firm partners and drive efficient, compliant, and profitable service delivery.
Key Responsibilities
- Oversee day-to-day firm operations including scheduling, workflow management, and resource allocation to ensure timely, high-quality client service.
- Supervise, mentor, and develop administrative and professional staff; lead hiring, performance management, training, and employee retention efforts.
- Manage firm financials including budgeting, billing and collections, accounts payable/receivable oversight, expense control, and monthly/annual financial reporting to partners.
- Implement and maintain operational policies, procedures, and quality controls to ensure compliance with professional standards and reduce risk.
- Drive continuous improvement by evaluating practice management systems and processes; lead implementation of technology and automation to increase efficiency.
- Partner with firm leadership to develop strategic plans, growth initiatives, pricing strategies, and service offerings.
- Coordinate client onboarding and relationship management processes to enhance client experience and retention.
- Manage vendor relationships, service contracts, and office facilities to support smooth operations.
- Ensure compliance with HR, payroll, benefits administration, and applicable regulatory requirements.
- Prepare operational dashboards, KPIs, and ad-hoc reports for partners to inform decision-making.
- Bachelors degree in Accounting, Business Administration, or related field; CPA, MBA, or equivalent advanced credential is a plus.
- 5 years of progressive operations or practice management experience in a public accounting, tax, or professional services firm (roles such as Firm Administrator, Practice Manager, Director of Operations, Operations Manager, Practice Administrator, or Business Manager preferred).
- Demonstrated experience with CPA firm operations, tax firm workflows, and professional services delivery; familiarity with CPAFMA best practices is a strong plus.
- Strong financial acumen with hands-on experience managing budgets, billing, collections, and financial reporting for an accounting firm.
- Proven leadership and people-management skills, with experience coaching teams, conducting performance reviews, and leading change initiatives.
- Excellent communication, client service, and stakeholder management skills; able to interact effectively with partners, staff, and clients.
- Proficiency with practice management software, document management, accounting systems (e.g., QuickBooks), and office productivity tools; experience implementing systems improvements.
- Solid knowledge of HR processes, payroll, benefits administration, and employment regulations relevant to professional services firms.
- Analytical and problem-solving orientation, with ability to develop and monitor KPIs and operational metrics.
- Preferred: active involvement or certification with CPAFMA or similar firm-management associations; experience as an Accounting Firm Administrator, CPA Firm Administrator, or in other accounting firm leadership roles.
