Job Description: IT Governance & Portfolio / Project Coordinator (Contractor)
Role Summary
We are seeking a highly organized and proactive IT Governance & Portfolio Coordinator to support IT leadership in driving cross-functional governance forums, strategic initiatives, portfolio tracking, and operational reporting.
The role will coordinate collaboration between IT, Business stakeholders, and external partners, ensuring meetings are effective, decisions are tracked, actions are followed through, and leadership has clear visibility into priorities, risks, and progress.
This position requires strong communication skills, attention to detail, executive presentation capability, and ability to work across multiple teams in a fast-paced environment.
Key Responsibilities
• Coordinate IT governance meetings including agenda preparation, logistics, documentation, and follow-up.
• Partner with ITWG Chair/Co-Chairs to prepare materials and drive effective discussions.
• Capture meeting minutes, decisions, risks, issues, and action items.
• Maintain action trackers, decision logs, risk/issue trackers, and governance documentation.
• Follow up with IT, Business, and cross-functional stakeholders to drive closure.
• Coordinate with J&J ITWG coordinator and external stakeholders.
• Support business cases, decision documents, presentations, and leadership updates.
• Ensure stakeholder alignment before governance discussions.
• Improve governance templates, processes, and communication effectiveness.
Portfolio & Project Reporting:
• Coordinate with project owners and capability leads to consolidate project updates.
• Prepare portfolio reporting including accomplishments, milestones, risks, dependencies, and decisions.
• Maintain dashboards, roadmap views, and project trackers.
Leadership Communication:
• Prepare monthly ITLT updates and executive presentations.
• Convert complex information into concise leadership-level summaries.
• Develop high-quality PowerPoint presentations.
KPI, Budget & Operational Coordination:
• Track department KPIs, metrics, and operational dashboards.
• Support budget coordination, forecast tracking, spend updates, and resource planning inputs.
• Assist leadership team members with status reporting and operational coordination.
Required Skills & Experience
• 5 years experience in IT coordination, PMO, project management, portfolio management, or governance roles.
