The Shipping & Postal Logistics Supervisor leads all outbound shipping and postal logistics functions for a high-volume direct mail production operation. This position is responsible for managing USPS compliance, mail preparation, transportations scheduling, carrier negotiations, freight management, and delivery performance. The role ensures mailings are processed and entered into the postal system software efficiently, meet client deadlines, and maximize postage savings opportunities. The Shipping & Postal Logistics Supervisor works closely with production, data processing, and client services teams to optimize mail flow, improve operational performance, and maintain exceptional customer satisfaction. Strong leadership, postal expertise, and continuous improvement skills are essential for success in this role.

 

Schedule: 7:00 am - 4:00 pm; Monday through Friday 

 

Duties and Responsibilities:

  • Supervise daily postal shipping, and logistics operations supporting high-volume direct mail production and fulfillment activities, ensuring the timely and accurate processing, preparation, and distribution of client mailings and outbound shipments.
  • Lead, train, schedule, and develop USPS mail shipping personnel, assigning work priorities, monitoring productivity, and ensuring compliance with quality, safety, and performance standards.
  • Coordinate outbound postal shipments, USPS mail inductions through USPS Postal One software, freight pickups, transportation schedules, and carrier activities to meet customer requirements, production deadlines, and service commitments.
  • Collaborate with Production, Customer Service, Accounting, and Postal Operations teams to prioritize workloads, resolve issues, obtain mailing approvals, communicate job status updates, and ensure seamless workflow across departments.
  • Review and maintain shipping records, bills of lading, manifests, postal documentation, to ensure accuracy, completeness, and regulatory compliance.
  • Utilize Window Book software and Mail.dat files to prepare, edit, validate, and submit USPS mailing documentation in accordance with USPS regulations, technical specifications, and industry best practices.
  • Review job specifications and mailing requirements to ensure accurate postal setup, mail preparation, and submission of documentation to USPS.
  • Manage postage-related activities, including validating postage usage, maintaining postage accounts, monitoring expenditures, requesting funding as needed, and ensuring accurate customer billing and invoice reconciliation.
  • Prepare and submit USPS applications, permit documentation, and promotional registrations while identifying opportunities to maximize postage savings through USPS incentive and discount programs.
  • Maintain organized and accurate records of completed jobs, mailing documentation, permit information, and postal records in accordance with company retention requirements.
  • Serve as the department's subject matter expert on USPS regulations, postal compliance, mailing standards, and postal industry best practices, providing guidance and support to internal stakeholders.
  • Develop and implement process improvements that enhance operational efficiency, improve delivery performance, reduce errors, strengthen compliance, and optimize shipping and postal operations.
  • Build and maintain effective relationships with freight carriers, transportation vendors, and USPS representatives to ensure cost-effective and reliable service.
  • Enforce company safety policies and maintain a safe, organized, and OSHA-compliant work environment.
  • Perform other duties and special projects as assigned.

  

Required Qualifications:

  • High School Diploma or GED; Associate’s or Bachelor's degree in Supply Chain Management, Business, Operations, or related field preferred .
  • Minimum of 3-5 years of experience in warehouse, shipping, logistics, postal operations in a direct mail production environment.
  • Minimum 1-3 years of supervisory experience.
  •  Working knowledge of USPS regulations, mailing standards, postal documentation, and mail preparation processes.
  • Experience coordinating transportation, freight carriers, shipping vendors, and postal logistics activities.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Ability to learn and effectively utilize Window Book software, USPS Postal One software, Mail.dat processing systems, and other mailing and logistics technologies.

 

Required Skills/Abilities: 

  • Strong leadership and team development skills.
  • Strong organizational, analytical, and problem-solving skills with attention to detail.
  • Excellent verbal and written communication skills with the ability to collaborate effectively across multiple departments.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced production environment.
  • Knowledge of inventory control, shipping documentation, bills of lading, and warehouse operations.
  •  Ability to operate or become certified on forklifts and other material handling equipment.

  • There is frequent need for the employee to stand, sit, walk, repetitive small motor activity, use hands and fingers, and reach with hands and arms.
  • The employee is occasionally required to lift and carry up to 50 pounds, to stoop, kneel, crouch, and to ascend and descend stairs.
  • This position requires a high energy level and ability to handle stress-related situations on a daily basis.
