POSITION SUMMARY:
The Assistant Office Manager is responsible for supporting the Office Manager in ensuring that day-to-day operations of the department are performed effectively and accurately. This role requires strong communication, problem-solving, and organizational skills, as well as the ability to confidently engage with team members and leadership and participate in meetings. The Assistant Office Manager must be knowledgeable in all office functions, support team performance, and work collaboratively across departments. This position serves as a direct support to the Office Manager and requires a proactive, detail-oriented individual who can take ownership of responsibilities and contribute to overall operational success.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Support and help oversee daily office operations, ensuring processes run efficiently and team members are supported
- Provide cross-functional support to both office and warehouse teams as needed
- Participate in employee selection, onboarding, training, and ongoing development
- Partner with the Office Manager to lead weekly team meetings, keeping staff informed, aligned, and engaged
- Maintain strong working knowledge of all systems and platforms used in daily operations
- Ensure all customer inquiries and concerns are handled in a courteous, accurate, and timely manner
- Train and support Customer Care Specialists across all functional areas, reinforcing best practices and expectations
- Provide ongoing training, coaching, and mentorship to develop team members and improve performance
- Conduct regular one-on-one check-ins, offering feedback, addressing challenges, and supporting employee growth
- Identify performance gaps and implement coaching plans to drive improvement and accountability
- Lead by example, demonstrating best practices in customer interactions, communication, and problem-solving
- Foster a positive, supportive team environment that encourages collaboration and continuous improvement
- Assist in creating, updating, and improving training materials and resources
- Support team members with complex transactions, including refunds, tax exemptions, and order issues
- Review end-of-day orders to ensure accuracy and on-time fulfillment
- Monitor calls and customer interactions for quality assurance, identifying opportunities for improvement
- Handle escalated customer concerns, ensuring timely and effective resolution
- Continuously learn and implement new systems and processes, supporting team adoption and training
- Perform additional duties as assigned to support business needs
OTHER DUTIES AND RESPONSIBILITIES:
Physical:
As an Assistant Office Manager, you are required to sit for long periods of time, walk, type, look at computer monitor for long periods of time, and occasionally use hands lift boxes 20 pounds and possibly up to 50 pounds with assistance. This is an office environment that works closely with the warehouse department to unsure effective, efficient, and superb customer service.

REQUIRED QUALIFICATIONS:
- A High School Diploma, or equivalent.
- 2 years of office management or leadership role.
- Minimum of 5 years of customer service experience.
- Professionalism and confidence when communicating, including participation in meetings and interaction with leadership.
- Strong computer skills with the ability to create spreadsheets and presentations.
- Strong organizational, multitasking, and time management skills.
- Ability to manage priorities, complete tasks on time, and handle project-based work.
- Good written and verbal communication skills.
- Strong proficiency in Microsoft Office applications as well as Google Sheets, Docs, Forms, and similar tools.
- Ability to learn systems quickly and apply knowledge effectively, including the ability to operate office equipment.
