Responsibilities
- Manage and process permit applications, renewals, and related documentation with accuracy and timeliness.
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately.
- Handle incoming calls with professionalism, and provide courteous customer support.
- Maintain organized filing systems for permits, correspondence, and office records, both digitally and physically.
- Utilize computer skills including Microsoft Office Suite, Google Workspace, QuickBooks, and data entry to support administrative tasks.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping.
- Coordinate calendar management, schedule appointments, and handle travel arrangements for staff as needed.
- Support office management duties including supply inventory, mail distribution, and maintaining a clean, efficient workspace.
- Proofread documents for accuracy and clarity before submission or distribution.
Qualifications
- Proven experience in office reception or administrative roles with clerical or reception duties.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry tools.
- Excellent organizational skills with keen attention to detail and ability to multitask efficiently.
- Exceptional phone etiquette skills
- Prior experience in permit processing or related regulatory work is a PLUS but not required.
- Strong typing skills along with good proofreading abilities to ensure error-free documentation.
