What are the responsibilities and job description for the Client Services Specialist position at Cummings Properties?
Primary responsibilities:
· Support the day-to-day operations of two business centers as well as our virtual office program and conference room offerings between 8 AM and 5 PM Monday through Friday
· Answer calls, cover the front desk, and manage mail/package distribution to clients, including notifying them of important deliveries and assisting them with outgoing messenger services
· Maintain client files, the sales leads database, and Constant Contact
· Open and close the center daily; ensure front desk is covered and the space is clean, tidy, and well-maintained
· Onboard new clients, preparing and reviewing welcome packets
· Act as the primary point of contact for leasing clients, providing outstanding service and resolving issues as they arise
· Schedule conference rooms, catering, and equipment; maintain conference room, day office, and training room calendars
· Perform daily billing, track expenses, order office supplies, process payments, and review charges monthly
· Prepare purchase orders for specialty items and work orders for repairs/maintenance (HVAC, lighting, etc.)
· Stock and maintain office and kitchen supplies
· Demonstrate initiative; flag problems, propose solutions, and contribute new ideas
The preferred candidate will possess:
· A talent for working both collaboratively and independently
· At least two years of administrative experience
· Strong communication and interpersonal skills
· Sound judgment, initiative, and attention to detail
· Working knowledge of Microsoft Word and Outlook
· Ability to present/maintain a pleasant and professional appearance and demeanor
· Elite customer service skills, including the ability to remain flexible in high pressure or continually changing situations
· Ability to operate office equipment/technology, including computers, printers, fax machines, scanners, postage machines, copiers, and multi-phone systems
· High school diploma or equivalent

The hourly rate range is $25 - $30, depending on experience.
