The Recruiting Coordinator/HR Operations Assistant supports the day-to-day coordination and administration of the Talent Acquisition function, with a strong focus on Workday Recruiting. This role manages core recruiting processes in the system, including job postings, candidate updates, offer letters, and reporting, while also coordinating interviews, pre-employment activities, and onboarding support. The ideal candidate is highly organized, detail-oriented, and confident working independently in Workday.

Key Responsibilities
Recruiting & Workday Administration
- Create, post, and update job requisitions in Workday and associated recruiting platforms, while maintaining accurate candidate and requisition information throughout the hiring process.
- Prepare offer letters in Workday, monitor approval workflows, distribute approved offers, and complete required system updates through acceptance and hire.
- Coordinate interviews, invitations, confirmations, and candidate communications, and close requisitions in Workday following successful starts.
- Provide occasional support for sourcing and other recruiting activities as needed.
- Coordinate background checks and other pre-employment requirements, following up on outstanding items and escalating issues when appropriate.
- Support onboarding documentation, internal handoffs, and start-date readiness from offer acceptance through the employee’s first day.
- Maintain core recruiting trackers and prepare routine or ad hoc reports for team and leadership needs.
- Support the tracking of referral bonuses, Talent Acquisition expenses, bonuses, and accruals in coordination with Human Resources, Payroll, and Finance.
- Provide backup support for routine Talent Acquisition administrative and reporting activities and help maintain accurate, efficient processes.
- Associate degree or an equivalent combination of education and relevant experience preferred.
- 2 years of experience in recruiting coordination, Talent Acquisition operations, HR administration, or a related field.
- Strong hands-on experience with Workday is required,. This role utilizes Workday Recruiter (ATS), Including requisition posting, candidate management, offer-letter workflows, approvals, and reporting.
- Proficiency with Microsoft Outlook and Excel, including experience coordinating multiple calendars and maintaining trackers.
- Exposure to onboarding, background checks, expense reporting, or operational reporting is a plus.
- Strong organization, follow-through, and attention to detail.
- Clear, professional communication and a service-oriented approach with candidates and internal partners.
- Ability to handle confidential information with discretion.
- Comfort working with spreadsheets, recurring reports, and multiple priorities both independently and as part of a team.
