About the Role
We're seeking an Office Coordinator to support day-to-day operations across administrative, accounting, and inventory functions. This role is ideal for someone who thrives in a fast-paced environment, enjoys organizing workflows, and takes pride in maintaining accurate records and professional communication.
Key Responsibilities
AccountingAdministrative Support
- Process accounts payable and receivable entries, including coding invoices
- Record customer payments and reconcile accounts
- Assist with reporting and audit requests
- Maintain financial records and filing systems
- Provide administrative support including phones, scheduling, correspondence, and office supply management
- Support special projects and data entry tasks
- Handle confidential information with discretion
InventoryPurchasing Support
- Prepare and process purchase orders for inventory and supplies
- Track order status and follow up with vendors
- Monitor stock levels and ensure availability for production needs
- Maintain accurate inventory records
- Oversee cycle counts and reconcile discrepancies
- Provide monthly inventory and purchasing updates
General Support
- Assist with customer service inquiries
- Facilitate communication between vendors, production, and finance teams
Qualifications
- High school diploma or equivalent required; Associate degree in business or related field preferred
- 1–3 years of experience in office administration, accounting support, or inventory coordination
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Ability to manage confidential information with discretion
- Proficiency in Microsoft Office Suite and ability to learn ERP/accounting systems
