The Office Estimating Admin plays a critical role in keeping both daily estimating management workflows running efficiently. This role goes beyond traditional administrative support, with a strong emphasis on estimating projects, maintaining timelines, and ensuring communication flows smoothly across teams.
This position requires someone who is organized, proactive, and capable of managing multiple priorities without losing track of details.
Key Responsibilities
Project Administration
- Support project managers with planning, coordination, and execution of estimating projects
- Track project timelines, milestones, and deliverables to ensure deadlines are met
- Maintain project documentation, including quotes, reports, and correspondence
- Act as a central point of contact between internal teams, vendors, and customers
- Monitor project progress and flag delays, risks, or issues early
- Office Administration
- Manage calendars, scheduling, and internal communications
- Handle document management, filing systems, and data entry with high accuracy
- Manage vendor relationships
- Maintain a professional and organized office environment
Qualifications
- 2–5 years of administrative experience, with exposure to project estimating or project administration preferred
- Strong organizational and time management skills
- Ability to manage multiple projects simultaneously without losing attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Word, Outlook) and project management tools (e.g., Asana, Monday.com, Trello, or similar)
- Experience with budgeting, invoicing, or financial tracking is a plus
- Valid Driver's License and Proof of Insurance
