Job Summary
We are seeking a friendly and organized Front Desk Host to join our team. In this role, you will be the first point of contact for our patients, responsible for creating a welcoming environment. Your primary duties will include greeting and checking in patients, answering phone calls, scheduling appointments, and preparing and verifying insurance information. Strong communication skills, attention to detail, and a positive attitude are essential to ensure a smooth and professional experience for all visitors.
Responsibilities
- Greet patients promptly and warmly as they enter the office, creating a welcoming and professional environment
- Check in patients, verify personal and insurance information, and update records as needed
- Answer incoming phone calls, respond to inquiries, and direct calls to appropriate team members
- Schedule, confirm, and reschedule appointments using office management software
- Collect and input insurance details; verify vision and medical coverage prior to appointments
- Prepare necessary insurance forms and documentation for billing and patient visits
- Handle patient check-out, including collecting payments and providing receipts
- Maintain organized and up-to-date patient records in compliance with HIPAA regulations
- Coordinate with optometrists, technicians, and optical staff to ensure smooth patient flow
- Keep the front desk area clean, stocked, and presentable at all times
- Assist with basic administrative tasks such as filing, scanning, and mailing
- Provide excellent customer service and assist patients with general questions or concerns
Qualifications
- High school diploma or equivalent (required); additional administrative or healthcare training is a plus
- Previous experience in a medical, optometry, or front desk setting preferred
- Knowledge of insurance verification, especially vision plans (e.g., VSP, EyeMed, etc.) is highly desirable
- Proficient in using office software, scheduling systems, and basic computer functions
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to multitask and stay calm in a fast-paced environment
- Professional appearance and demeanor
- Friendly, patient-focused attitude with a commitment to customer service
- Reliable and punctual with a strong work ethic
- Familiarity with HIPAA regulations and patient privacy best practices
