Duties
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression
- Answer, screen, and route incoming calls using multi-line phone systems with professionalism and courtesy
- Manage appointment scheduling and calendar coordination for staff and executives
- Maintain accurate records through data entry, filing, and updating spreadsheets using Microsoft Office tools
- Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
- Support office management tasks such as supply inventory, filing systems, and document proofreading
- Assist with clerical duties including word processing, document formatting, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries promptly and efficiently in person or over the phone
- Maintain a tidy reception area to ensure a welcoming environment for visitors and staff
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
- Experience with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to assist diverse client needs
- Demonstrated skills in data entry, filing, proofreading, and time management
- Knowledge of QuickBooks or similar accounting software is a plus
- Strong computer literacy with the ability to adapt quickly to new technology tools
