Job Summary

The Senior Marketing Operations Coordinator is responsible for providing a broad range of operational and administrative support to the Marketing and Client Development department, as well as the individual members of the leadership team – Chief Marketing Officer and directors. The Senior Coordinator maintains department databases, helps to develop marketing presentation materials, produces department reports, and supports new team members with on-boarding. The Senior Marketing Operations Coordinator provides a critical role in not only supporting the annual budget forecasting and development process for the department, including office marketing and business development budgets, but helping the budget owners to track and manage their spend throughout the year. This role is responsible for managing the CMO’s calendar, scheduling meetings, making travel arrangements, processing reimbursements, and other administrative responsibilities.

Job Responsibilities

  • Provides comprehensive administrative and project management support to the CMO, including calendar management, meeting scheduling and arrangements, travel, presentation preparation, data gathering, and expense reimbursement.
  • Coordinates the logistics of department and group meetings, training sessions, and retreats.
  • Works with teams within the department to ensure that intranet content is up to date.
  • Works with the branding team to maintain the marketing collateral (one-pagers, About the Firm, placemats, etc.) repository.
  • Contributes to the implementation and ongoing maintenance of marketing and business development tools and technologies.
  • Works with the Client and Business Intelligence team to enter data and keep the client and contact information current in DealCloud.
  • Supports the Client and Business Intelligence team with the implementation of other KM platforms.
  • Supports the communications team with the daily compilation of firm press clips.
  • Facilitates the orientation and onboarding of new Marketing and Client Development Department team members.
  • Manages the development and tracking of the department’s annual budget, monitors expenditures, and prepares quarterly summaries of spend and forecast to budget. Provides support to the digital marketing team in the form of website content updates and blog posts.
  • Provides logistical support for department bi-annual retreats.
  • Manages social events for the department – holiday lunches, birthday celebrations, happy hours, etc.
  • Performs other duties as needed and assigned.

Knowledge, Skills and Abilities

  • Strong organizational and project management skills and the ability to prioritize work to meet deadlines in a fast-paced environment.
  • Proactive time management skills and the ability to work independently to active project objectives.
  • Demonstrated experience in managing complex projects and ensuring deliverables reflect input from all key stakeholders.
  • Excellent oral and written communication skills, with the ability to produce quality written communications such as memos, spreadsheets, presentations, and research reports.
  • Proficiency in the full Microsoft Office Suite, with advanced Excel skills including pivot tables and complex financial reporting.
  • Ability to quickly learn and utilize new software programs and tools.
  • Ability to perform both routine and non-routine tasks with care, attention to detail, and efficiency.

Education

The position requires a Bachelor's degree. Equivalent training and experience may substitute for education.

Experience

The position requires a minimum of seven (7) years of related and progressively more responsible experience. Strong project management and/or executive assistant experience is preferred. CRM experience is a plus.

US Pay Range
$61,000$90,000 USD

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
