Position Summary
The Construction Project Accountant & Administrator supports the financial, administrative, and operational needs of multiple construction projects. This role ensures accurate financial reporting, timely processing of pay applications, vendor payments, draw requests, and maintenance of complete project documentation. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced, collaborative environment with project managers, subcontractors, lenders, and internal finance leadership.
Key Responsibilities
Project Accounting
- Assist Project Managers with the preparation, review, and processing of monthly Owner pay applications (AIA G702/G703).
- Distribute, collect, and track subcontractor lien waivers.
- Support Project Managers in tracking project budgets, entering commitments, processing subcontractor change orders, and preparing cost-to-complete forecasts with margin review.
- Maintain accurate job cost ledgers, ensuring proper coding of invoices, expenses, and labor.
- Assist Project Managers with lender-funded draw requests, including compiling supporting documentation and tracking funding receipts.
- Reconcile project billings, retention, and cash receipts.
- Monitor contract compliance, insurance certificates, lien waivers, and required release forms.
Accounts Payable & Financial Support
- Assist Project Managers with reviewing and processing subcontractor payment applications and vendor invoices, matching subcontracts and purchase orders, and confirming required approvals.
- Review open payables reports and assist Project Managers in maintaining payment schedules aligned with project cash flow.
Project Administration
- Maintain organized project files for Owner contracts, subcontracts, purchase orders, and change orders.
- Assist Assistant Project Managers with project closeout documentation, including compiling O&M manuals and required warranties.
- Support compliance with licensing, insurance, safety documentation, and regulatory requirements.
Communication & Coordination
- Serve as a financial liaison between accounting, project teams, subcontractors, and lenders.
- Respond to inquiries related to project status, billing, and documentation.
- Ensure clear, timely, and consistent communication to support project schedules and financial accuracy.
Qualifications
- Bachelor’s degree in accounting, finance, business, or a related field (or equivalent experience).
- 2–5 years of experience in construction accounting or project administration.
- Working knowledge of job cost accounting, draw processes, AIA billing, and construction contracts.
- Proficiency with construction and accounting software, including Procore Financials, Procore Pay, and Sage 300.
- Strong Excel skills, including pivot tables, VLOOKUP, and basic formulas.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple projects, deadlines, and competing priorities.
- Strong communication skills and a collaborative, team-oriented mindset.
Preferred Skills
- Experience with lender-funded construction projects.
- Familiarity with prevailing wage requirements, certified payroll, or compliance reporting.
- Knowledge of lien laws and construction documentation requirements.
- Understanding of Workers’ Compensation, General Liability, and Auto insurance coverage and related construction documentation.
- Notary Public certification is a plus.

Salary Range
$75,000–$85,000 annually, depending on experience and qualifications
