Hours
The Sales & Estimating Coordinator starting time is Monday through Friday 8:00 a.m. with ½ hour forlunch, and normal closing at 4:30 p.m. The Sales & Estimating Coordinator will conduct sales and thencarry out the project throughout the entire pre-construction process. This will require periodically workingoutside of the normal 8am-4:30pm timeframe.
Pay
Pay is salary and the pay period is biweekly. This position also has commission and bonus incentives.
Position Summary:
The Sales & Estimating Coordinator serves as the primary point of contact from initial lead engagementthrough the delivery of a complete and accurate project estimate. This role bridges sales and estimating,managing client relationships, scoping projects, and coordinating all pre-construction activities. Uponcompletion of the estimate and client commitment, the Sales & Estimating Coordinator formally transitionsthe project to the Project Manager for execution of the construction phase.
Position Responsibilities
Sales and Lead Management:
- Respond promptly to inbound leads and conduct outreach to prospective clients through phone,email, and in-person meetings.
- Qualify leads by assessing project scope, budget, timeline, and client fit.
- Develop and maintain a lead pipeline, tracking status and follow-up activity in the CRM system (JobTread).
- Schedule appointments with potential clients to conduct thorough site visits and project assessments to gather the information needed for accurate estimating.
- Build and nurture long-term client relationships to generate repeat business and referrals.
- Represent the company professionally at industry events, networking functions, and community engagements
Pre-Construction and Estimating:
- Preparing accurate estimates of the projected cost of materials, equipment, labor, subcontractors,and other associated tasks for each specific project.
- Developing written preliminary price estimates, written job scopes, proposals, contracts, project
- schedules, and reports related to estimates as requested by the sales manager.
- Responsible for meeting subcontractors and vendors on site to obtain proposals and review project scope.
- Using and mastering Xactimate estimating program to create estimates.
- Using and mastering JobTread to create estimates, bid requests, and proposals.
- The estimator is responsible for ordering, receiving, and documenting all specialty buildingproducts such as windows, doors, etc. (If Designer is involved, Designer is responsible for design items such as cabinets, tile, countertops, etc.)
- Facilitate a structured handoff meeting with the assigned Project Manager upon contract execution transferring all relevant project documentation including scope of work, estimates, contracts, site notes, and client communications
- Applying for building permits when needed.
- Assisting the project manager in estimating and writing change orders within 24 hours of request.
- The estimator is responsible for attending postproduction analysis meetings.
- The estimator is responsible for updating and using relevant knowledge. Therefore, keeping up to date technically and applying new knowledge to the job is important. The estimator should be observing, receiving, and otherwise obtaining information from all relevant sources.
- The estimator is responsible for attending job-related training seminars, online, locally or regionally as requested by the general manager.
- The estimator is responsible for establishing and maintaining interpersonal relations. Developing constructive and cooperative working relationships with all trade partners and company departments and maintaining them over time.
- Importing and tracking certain metrics for each job using the company’s project managementsoftware (JobTread).
- Other duties as assigned by the general manager.

Qualifications
Required:
- 6 years of experience in construction estimating, project management, or business development within the construction industry.
- Demonstrated ability to read and interpret blueprints, specifications, and construction documents.
- Strong understanding of construction methods, materials, and cost structures.
- Proven track record of successfully closing projects through the sales and estimating process.
- Excellent verbal and written communication and client-facing presentation skills.
- Proficiency with estimating software and Microsoft Office Suite.
Preferred:
- Bachelor's degree in Construction Management, Civil Engineering, Business, or a related field — or equivalent experience.
- Familiarity with CRM platforms and project management software (e.g., JobTread, Procore, Buildertrend, Salesforce).
- Experience managing pre-construction on projects ranging from residential renovations to commercial ground-up construction.
- Existing relationships with subcontractors and suppliers in the local market.
