Responsibilities
- Greet clients, visitors, and vendors warmly, providing outstanding customer service and maintaining a professional front desk presence
- Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately
- Schedule appointments, coordinate calendars, and assist with case management support
- Maintain organized filing systems both electronically using Google Workspace and physically for legal documents
- Perform data entry tasks accurately into legal management software and QuickBooks for billing purposes
- Handle incoming and outgoing correspondence
- Support office management duties such as ordering supplies, managing office equipment, and ensuring a tidy workspace
- Assist with bookkeeping tasks
- Provide clerical support such as photocopying, scanning, faxing, and document preparation
- Maintain confidentiality of sensitive client information in accordance with legal standards
- Demonstrate excellent phone etiquette while managing inquiries from clients or external parties
Experience
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and front desk operations
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
- Clerical experience involving data entry, filing, proofreading, and customer support roles
