Position Overview

The Leave Administrator is responsible for the administration, coordination, and compliance of employee leave programs, including Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA) accommodations, state and local leave laws, military leave, personal leaves of absence, and company-sponsored leave programs. This position serves as a key resource to employees, managers, and Human Resources by ensuring leave requests are handled accurately, consistently, confidentially, and in compliance with applicable laws and company policies.

Key Responsibilities (Essential Duties And Functions)

  • Manages employee leave of absence programs, including personal, ADA, disability leave, paternity/maternity leave, family leave (FML), and other statutory and non-statutory leaves.
  • Maintain a strong familiarity and understanding of all leave policies and plan across: TX, LA, TN, AR and MS.
  • Have a strong knowledge and understanding of relevant federal, state, and local jurisdiction regulations and compliance requirements.
  • Primary contact for the South Central division to follow up on leave claims that have missing or incomplete information.
  • Respond to Leave of Absence information requests from Third-Party Administrator (UNUM) meeting designated deadlines.
  • File state leave paperwork with government agencies and reports, where applicable.
  • Collaborate leave requests and status updates with Management, Human Resources, Workers' Compensation, BenAdmin, Payroll, and other groups.
  • Ensuring HR and supervisors are well informed of any changes to leave provision and/or any leave related issues about employees.
  • Communicate with employees about applicable leave options.
  • Understand and communicate pay for time not worked, and the variances from regular wages and payroll deductions.
  • Maintains contact with employees to address leave requests, modifications to leave, and potential return-to-work accommodations.
  • Ensures all correspondence from employees are investigated and responded to appropriately.
  • Administers all FMLA, LOA, Military Leave orders, etc. with vendor and corresponds with all applicable parties about status of orders.
  • Track and ensure that employee records are accurate and maintained.
  • Gather and review supporting documentation (medical support, LOA, etc.)
  • Assist the employee on return-to-work rights and responsibilities when returning from leave,
  • Work with BenAdmin to address any benefit terminations or reinstatements.
  • Work with payroll and BenAdmin to identify and capture any missed payroll deductions or benefit adjustments.
  • Always maintain professional demeanor while representing the company and working to resolve leave related issues and concerns.
  • Other non-leave, HR duties as directed by management.

Additional Responsibilities

  • Assisting with unemployment claims
  • Partnering with HR business unit teams
  • Training HR and Managers on ADA process and leave protocols.

Education/Experience

Qualifications

  • Minimum of 2-3 years of experience administering employee leave programs, benefits, HR operations, or employee relations.
  • Experience managing FMLA, ADA accommodations, and understanding of workers’ compensation.
  • Experience working within an HRIS and leave management system
  • Must communicate fluently in Spanish, both written and verbally.

Knowledge/Skill Requirements

  • Strong knowledge of FMLA, ADA, USERRA, workers' compensation, and applicable leave laws.
  • Excellent organizational and case management skills.
  • Must speak Spanish
  • Strong attention to detail and accuracy.
  • Ability to manage sensitive and confidential information.
  • Effective verbal and written communication skills.
  • Strong customer service and employee support orientation.
  • Ability to prioritize multiple cases and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office Suite and HR information systems.

Physical Requirements

  • Ability to remain seated and work at a computer for extended periods.
  • Ability to communicate effectively in person, by telephone, and electronically.
  • Occasional travel may be required.
