The Job at a Glance
The Document Retention Specialist is a contributory role within the Account Operations Department. This role requires the individual to have a keen eye for detail and strong organizational skills to manage the document retention program. The Document Retention Specialist shall adhere to company policies and procedures and ensures compliance with applicable laws and regulations.
A Typical Day
- Maintain organized storage closets and ensure accurate labeling, logical placement, neat arrangement, and cleanliness.
- Maintain change control validations systems as outlined in the imaging system’s procedures, including issuing, tracking, transcribing, editing, and distribution (both hard copy and electronic copy) of completed revisions.
- On and off boarding of users in the imaging system
- Document turnover and chain of custody.
- Reporting to management and advising on processes for improvement
- Scan and/or upload documentation into database ensuring appropriate indexing, naming, readability, and policy retention standards are met.
- Shred/Destroy records in accordance with the retention policy destruction procedures.
- Perform quality reviews of scans and uploads.
- Collaborates with leadership, team, and other departments to complete high priority projects to manage data flow and deadlines.
- Adapt to changing work requirements and environment as needed.

What We Look For
- High school degree or equivalent required
- Minimum 1 year of related banking or credit union experience required.
- Strong organizational and time management skills
- Ability to work independently, as well as collaboratively.
- Willingness to learn and develop both this position and self.
- Some decisioning making is required.
- Able to work irregular or extended hours including weekends as needed.
- Must be familiar with various file formats such as tiff, PDF, txt, and JPEG.
- Ability to maintain, clean and calibrate hardware such as a Canon Scanner
