We are seeking a full-time, highly organized, and detail-oriented Project Coordinator to support our in-house Creative Services team. This entry-level role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in keeping projects organized and moving efficiently from initiation through completion.
The Project Coordinator will play a key role in managing workflow, coordinating production timelines, communicating project needs, and ensuring deliverables meet both client expectations and company quality standards. This position works closely with the Creative Services Manager, internal production teams, and external stakeholders to help ensure projects are completed accurately, efficiently, and on schedule. This position requires superior organizational skills, meticulous written communication, and close attention to detail.
Key Responsibilities
- Execute tasks that support meeting our clients' needs.
- Proactively create and maintain a positive and effective relationship with our internal team, employing active listening and demonstrating empathy to ensure our customers' expectations are met.
- Read and interpret client requests and translate them into clear directions for the production team.
- Create a detailed plan that identifies and sequences the tasks that must be completed successfully for each project.
- Enter new projects into our tracking software and prepare projects for our production team.
- Monitor the status and progress of each project to help ensure it is completed on time.
- Once a project is completed, review it to ensure that it meets our expectations.
- Traffic projects with our internal printing department or outside vendors.
- Quality Control / Proofreading overflow.

Experience Required
- Bachelor’s degree.
- 2 years of project coordinator experience.
- Extensive working knowledge of Microsoft Office (including PowerPoint) and Adobe Acrobat.
Nice To Have
- General knowledge of graphic design tools (i.e., Adobe Creative Cloud suite).
- Previous experience in the pharmaceutical and healthcare field.
Location
This position follows a hybrid work schedule, with team members working on-site in our Pennington, NJ office two days per week and remotely from home three days per week.
Compensation
Salary range: $45,000–$55,000 per year. Salary is commensurate with experience and ability.
